Why aren't my rules working on all accounts?

ive setup a simple rule on one account, telling it to work on all the other accounts and yet it still is not getting picked up. For example I set a rule for gas stations where description is any of Shell or Exxon for all accounts. It works in the account i set it up in but not other accounts. I've hit the update button and nothing happens

I'm here to help make sure your bank rules work appropriately. To get this resolved, let's perform some troubleshooting steps.

 

It's possible that the browser you're using had a data issue that's why your bank rules aren't working. To verify, let's log in to your QuickBooks Online (QBO) account using a private browser. To do so, press this shortcut key on your keyboard:

 

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Safari: Command Option P

 

If this works, it means that you need to clear the browser's cache so the system can start fresh. If you get the same result while using a private browser, I recommend switching to a different one.

 

If the issue persists, I suggest deleting and recreating the bank rules. Here's how:

 

  1. Go to the Banking/Transactions menu, then select Rules.
  2. Find the rule that isn't working.
  3. Click the drop-down arrow under the Action column, then choose Delete.
  4. Select Yes to confirm.
  5. Once done, recreate the rule.

 

You might also want to learn more about categorizing and matching bank transactions in QBO. This helps you put your downloaded transactions in the correct accounts.

the only thing that fixed it was creating a new job but what is the point of creating a job if I have to recreate it every time it doesnt work. It doesnt give me much faith in the process.

Why aren't my rules working on all accounts?

If a rule is not working in QB Online I have found its because it conflicts with another rule. For example if you have one rule that looks for a transaction with the text "withdrawal", and another rule that looks for transaction with the text "withdrawal ATM", there is a shared data parameter which causes a conflict. The resolution is to edit the rules to be more unique (sometimes this is not possible depending on what data comes through from the bank and you have to manually post those transactions).
