Why does the social security number get rejected when entering a new employee?

When I try to enter a new employee, the social security number is not accepted.  How can I do this?

Why does the social security number get rejected when entering a new employee?

Are you sure it's a Social Security number from a Social Security card, not a Taxpayer ID card? They're different.

Your new employee might have provided an invalid social security number, which is why QuickBooks rejected it, finance. I'll share further information about this and guide you in verifying the data so you can successfully set up your worker's profile.

Your employee may have given you an Individual Tax Identification Number (ITIN) instead of their Social Security Number (SSN). It's only available to residents and non-US citizens who aren't eligible for U.S. employment and need identification for other tax purposes. It starts with a "9" and is formatted like a social security number (NNN-NN-NNN).

To ensure you're entering a correct SSN, I'd recommend authenticating it on the Social Security Number Verification Service page.

After you've validated the number, continue adding your new employee to QuickBooks Payroll.

Once everything is all set, run your payroll to pay your employees on time.

Stay in touch if you have additional payroll concerns or questions about managing employees in QuickBooks Payroll. We'll jump right back to make sure you're taken care of. Have a good one.

Hello there, finance.

It looks like you might have posted the same question on another thread where my colleague has already answered it. You can find her response at this link: https://quickbooks.intuit.com/learn-support/en-us/employees-and-payroll/why-does-the-social-security....

RE: It looks like you might have posted the same question on another thread

Your link is circular and points right back to this thread. Not really helpful.

@finance-ywcapekihas exactly one post on this entire community, so, also you are wrong.

This does not work.  I have verified my employees SSN through E-Verify and is still says invalid in Quickbooks Enterprise 2024 (desktop)  Funny it will take all zeros but won't take a verified valid SSN.  Support worked on it and still couldn't figure out why we were getting the error.

This is an excellent example of poor decisions made when designing software. QuickBooks should never stop you from entering the SSN you want to enter. It's your responsibility, not theirs. And, also, if you get it wrong it's really not that big of a deal to fix it later. A warning, maybe, but it shouldn't stop you.

I shake my head in dumbfounded wonderment at the juvenile design choices Intuit has made of late for things like this. It seems no one there has experienced the real world.

I see the importance of being able to add your employee's SSN in QuickBooks Desktop, @Message 9000.
