Year End Census report for 401k

Hello - 

 

How can I get a Year End Census report for our 401k.  It needs to include Gross Compensation, Prior Year Compensation, all of the contributions.  This is not part of the Census report that is available.

It's great to see you back in the Community! 

 

QuickBooks Enterprise does not provide a single, fully customizable "Year End Census" report.  The most efficient method is to export separate reports and then merge them in excel. 

 

Typically, the Payroll Summary and a dedicated 401(k) or Deferred Compensation report would be best to merge using the employee name or ID.

I ran the deferred compensation report and got this error message.

If the error persists after updating, we can use the QuickBooks Tool Hub to troubleshoot common system issues. This tool is designed to help resolve common system issues efficiently.

 

You can follow the steps below:

 

  1. Exit QuickBooks.
  2. Download the latest version of the QuickBooks Tool Hub and save it in an accessible location like your Downloads folder or desktop. If you've downloaded it before, check if it's up-to-date by selecting the Home tab located at the bottom menu.
  3. Run the downloaded QuickBooksToolHub.exe.
  4. Then, complete the installation following the on-screen prompts.
  5. Double-click the icon on your desktop to launch the Tool Hub.

 

If you don't see the icon on your desktop, we can try using the Windows search function to locate the program.

Year End Census report for 401k

It ran through the data and then had a error message that say:

 

Can't connect to Quickbooks, make sure it is open and running.

Hi there, jennrobe. Thank you for letting me know about the error message you received. This error occurs when the QuickBooks Tool Hub is unable to establish a connection with your QuickBooks Desktop program. This can happen for a few different reasons, such as:

 

  • QuickBooks is not open when running the Tool Hub.
  • File or folder permission settings are restricting access.
  • A background program (like antivirus or firewall software) is interfering with the connection.

 

To fix this, here's how:

 

  1. Verify that QuickBooks Desktop is open and active on your computer while using the Tool Hub. If it is open, try closing and reopening it before retrying the Tool Hub process.
  2. Close QuickBooks completely.
  3. Right-click on the QuickBooks Desktop icon and select Run as Administrator, as this provides the program with higher permissions to interact properly with the Tool Hub.
  4. Temporarily disable your antivirus and/or firewall software to ensure they are not blocking QuickBooks from connecting to the Tool Hub. Re-enable them after testing the process.

Year End Census report for 401k

Our QB software is up to date.  

 

I ran the Quickfix my program in QB Hub.

 

Re-ran the Deferred Comp summary and there are two tabs:

 

1. Deferred Comp Summary Tab and it contains this and no actual data.

Appears to be every payroll item for every employee for every pay period.  

 

How can I get the info that I need as requested in my first question above?

Year End Census report for 401k

Hello there, Jennrobe. The Deferred Compensation report only summarizes employee deductions, company contributions, and loans related to retirement plans. If it's coming up with missing data, this is related to the Excel macro settings.

 

Ensure your Excel settings are adjusted correctly. Set them to Disable all macros with notification so you can manually allow the QuickBooks data to flow into Excel when exporting.  It will help address any data discrepancies. 

 

QuickBooks Desktop doesn’t provide a single report that includes all the data you specified. However, you can gather the necessary information by using multiple reports. The Deferred Compensation and 401(k) reports contain contribution-related details tied to retirement accounts, while the Payroll Summary report provides data on gross compensation and prior year compensation.

 

Once you've downloaded, you'll need to consolidate them manually to create the full Year-End Census report with all the necessary data.
