Migration from Desktop to Online

I'm currently running the current version of Desktop Pro 2024 with an active subscription.  Yesterday I tried to migrate one of my companies to Quickbooks Online and migration didn't go well.  Every former employee, former customer, unused account, etc. that was marked "inactive" in Desktop was reactivated by QBO.  It will take hours to edit QBO and mark hundreds of items inactive again. Is there a workaround during migration?

Migration from Desktop to Online

Thanks for getting in touch with the Community, jpoesq.

When moving data from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO), inactive accounts and customers can be moved. If they have open balances at the time of the move, they'll become active in QBO.

If you need to make an account inactive again, here's how:

  1. From your Chart of accounts screen, find an account you want to delete.
  2. Use its Action ▼ drop-down list, then select Make inactive.

To make customers inactive:

  1. Go to Sales, then Customers.
  2. Find the customer and click your Drop-down next to Edit.
  3. Select Make inactive.

I've also included a detailed resource about migrating data which may come in handy moving forward: Learn how features & data move from QBDT to QBO

If there's any additional questions, I'm just a post away. Have a great Monday!

Thank you for your reply.  I am familiar with how to inactivate employees, accounts, customers, etc.  The issue is that QBO made active previously inactivated employees, accounts, customers, etc. that have no pending transactions or balances.  Even employees terminated and inactivated 15 to 20 years ago were made active again.  I will have to inactivate hundreds of previously inactivated matters.

@jpoesq

Consider running the Condense Data utility to delete your old data and convert only the rest to QB Online. You can access historical data in QB Desktop if needed.
