Starting a new file

Our Quickbooks file is almost 20 years old and is very big and very slow.  I have condensed the data and it still lags.  I think it is time to start a new file as of January 1, 2025.  

 

I only want to bring over data for current employees, vendors, etc.  

 

What is the best way to do this?  

 

What will happen when there when items clear in 2025 that were part of balances in 2024?  How do I handle that?  

 

Detailed advice is greatly appreciated.

Starting a new file

Transitioning to a new QuickBooks file can greatly improve system performance and efficiency, @jennrobe. Let me provide you with detailed steps to help you start a new file while maintaining essential data.

 

Before making any changes, ensure you have a complete backup of your existing QuickBooks file. This allows you to revert to the old file if needed.

 

After that, you can now create a new company file. Go to File, then select New Company.

 

For data such as current employees, vendors, and customers, I highly suggest exporting the necessary data. 

 

Here's how:

 

  1. Go to File
  2. Select Utilities.
  3. Click Export.
  4. Choose the lists you want to transfer and save the IIF files.

 

Once done, you can now import the IIF files into your new company file. It's my pleasure to show you how:

 

  1. Go to File
  2. Select Utilities
  3. Click Import
  4. IIF Files

 

On top of these, you can input the opening balances for January 1, 2025. This can be derived from the trial balance of your old file as of December 31, 2024.

 

For outstanding items from 2024 that will clear in 2025, such as checks or receivables, you'll have to manually account for these in your new file to maintain accurate financial records. Please make sure that the old company file is reconciled so that the last account balances will be based when initiating the new company file.

 

Furthermore, I highly suggest collaborating with your accountant if you encounter complexities during the transfer to ensure a smooth transition.
