Adding Customer /Client Account Numbers

Does anyone know if we can add a Customer/Client Account Number to QBO without using a custom field?  All I can seem to find is either adding a number to the chart of accounts or instructions for adding a number to the customer name or address fields.  Did they remove the account number field in online?  This should be a pretty standard field.

Hi there, JustineCUE.

 

You can absolutely assign customers account numbers, I'm happy to show you how. You can assign account numbers to your clients that can be internal (lets you sort customers numerically) or external facing (appears on customer invoices).

 

To assign account numbers to your customers:

  • For internal only and numerical sorting
    1. From the left menu, select Sales.
    2. Select Customers/Clients.
    3. Select a customer to open the customer page, then choose Edit.
    4. In the Display name as field, enter the account number before the customer name.
    5. Select Save.

The account number now appears in front of the customer's name on internal lists and screens.

  • For customer facing numbering
    1. From the left menu, select Sales.
    2. Select Customers/Clients.
    3. Select a customer to open the customer page, then choose Edit.
    4. Uncheck the Use display name checkbox.
    5. Add the account number on the Print on check as field. Note: To see the account number reflected directly under the customer's name use the first line of the Street field.
    6. Select Save.

The account number now appears with the customer's name on invoices and other items.

@Nick_M Thanks Nick.  Yeah, I found those instructions, for adding the number to the name or address fields.  QB Desktop had an actual Account Number Field, that is what I was looking for.  Looks like they just don't have the option in Online.  Thanks for trying, appreciate your time.

Do you mind me asking how you got on with this work around? I am in the same position and find it odd they don't have a simple field like this!

You can't add a number to the display name.  We can't add it to the print name because if a check is written we don't want the number to print.  We also need to be able to search for the name.  We need our jobs to be listed in order of job number and not the name.

You can add numbers to customer display names by editing their profiles.

 

Here's how:

  1. In your left navigation bar, go to Sales, then Customers.
  2. Click the customer's name to access their profile.
  3. Use your Edit button.
  4. Enter a preferred title in their Customer display name field.
  5. Select Save.

 

You're also able to control which name prints on checks when editing customer profiles:

  1. While editing a customer's profile, find the Name to print on checks field.
  2. Enter a preferred name to be displayed on printed checks.
  3. Click Save.

 

You can use your Find a customer search field to search for specific customers.

 

I can certainly understand how an ability to sort jobs by job numbers could be useful and have submitted a suggestion about it as of today. You can also submit your own feature requests while signed in. Your feedback's definitely valuable to Intuit. It will be reviewed by our Product Development team and considered in future updates. For the time being, you're able to sort jobs by their project/customer titles, start dates, and end dates.

I would like to request that Quickbooks put back the Client Account Numbers back to QBS Online, this function is quite important and it helps the medium companies.

 

I am facing the same problem as Justine CUE.

I know how this feature would help you efficiently manage your business, @Sonia NYC. I can share information about losing client account numbers in QuickBooks Online (QBO).

 

Currently, we don't have a specific timeline as to when this feature available. However, you can submit this request to our Product Developers as this will greatly help them in considering future feature releases.

To send your feedback:
 

  1. Go to the Gear icon and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.
