Adding drop down menus to invoice template

Screenshot 2025-01-29 171206.png

I've been asked to make the "Professional" and "Unit" columns have a drop-down menu where someone could select the professional's name / unit of time (hour/day/month). I can't find a tutorial on how to do this anywhere - is it even possible?

Using QuickBooks Pro 2023 Desktop.

Adding drop down menus to invoice template

Having a dropdown menu for your Unit column is possible, Mel. However, it's unavailable for an added "Professional" column. Let me discuss the specifics below.

In QuickBooks Desktop (QBDT), you can add dropdown menus for the Unit column by setting up an item and selecting Time as the Unit of Measure Type. However, please note that the dropdown functionality isn't available for manually added columns, including the "Professional" column. In this case, you may manually enter the professional's name.

If you have an existing item, here's how you can add the Unit of Time:

  1. Go to the Lists menu and click Item List.

  2. Right-click on the item name and select Edit Item.

  3. Click the Unit of Measure dropdown and hit Add New.
  4. Tick the Time (minute, hour, day, etc. ) selection.
  5. Hit Next, then OK.
  6. Select a base unit of measure, then click Next.
  7. Add related units, then hit Next.
  8. Give a set name, then click Finish.
  9. Select the OK button.

Moreover, after creating an invoice and selecting your item, a dropdown menu will automatically appear in the UNIT column for easy selection. For the "Professional" column, type in the professional's name manually.

Finally, I'll share this resource to guide you in recording invoice payments in QBDT:
