Applying bills sync'd from bill.com to purchase orders in QBO

I use Quickbooks Online Essentials which is sync'ed with bill.com.  I created Purchase Orders in QBO to track liabilities to subcontractor/vendors. I've gone through Help section and tutorials on purchase orders and reached out to Help chat but none address how to apply to bills sync'ed from another service. With PO open and using the Copy to Bill feature creates a duplicate bill. Can anyone with experience provide more guidance please?

I appreciate the effort you've put into this, @dp1424.

 

You can link your bills from Bill.com to your Purchase Orders (POs) in your QuickBooks Online by going to the bill section and clicking Add to Bill. I'd be glad to guide on how.

 

Clicking the Copy to Bill will create a new bill different from what you've imported. Since you have synced the bills from bill.com, we'll only have to link the imported bills to the existing PO. In case you've saved the duplicate bills when you've clicked on Copy to Bill, let's delete them first to avoid duplication.

 

Here’s how to delete a duplicate bill:

 

1. Go to the Expense menu, then Vendors.
 

2. Choose the vendor.

3. Navigate the duplicate bill.

4. Open the bill, then select More, then click Delete and choose Delete Transaction.


To link your bill to a Purchase Order:

 

5. Open the bill you want to link to a PO and check the box in the upper portion.

Note: Ensure that if your bill already includes item details with the same amounts in your PO item details, you delete these to prevent duplicating the amounts when linking the PO.

 

6. Click Add. This action will link the bill to your purchase order.

 

These steps will link your synced bills from bills.com to your Purchase Order in your QuickBooks Online.

You're understanding is correct, dp1424. There's no need to import your bills from the third-party app. Let me explain why.

 

If you have an existing purchase order transaction in QuickBooks Online (QBO), you can convert it into a bill by selecting Copy to Bill. This eliminates the need to import bill entries from your third-party app.

I would be cautious of the advice of @Anonymous.  I guarantee you they have never used Bill.com.   

 

I used Bill.com for many years with QB Desktop (not QBO), but I'm guessing it's the same in terms of the sync.  You need to use the bills from your Bill.com sync, not the ones you manually created in QBO, and link those to your POs.  If you delete the bills from the Bill.com sync, Bill.com will re-create them each time you sync.  That's how it worked with QB Desktop anyways.

I agree Rainflurry.  I an hesitant to delete the bills sync'ed from bill.com. It seems very inefficient. I'm hoping someone else who uses both programs can add their insight and experience.

Anyone else with experience applying imported bills from a third party (for ex bill.com) to a purchase order in Quickbooks Online? It seems really inefficient to delete sync bills or not to sync bills when we have that setup for efficieny.
