Backing up a file

I have been a QB user for 22 years and I came across a problem about backing up my work file.  I just purchased the Enterprise 2019 and started using the automatic back up feature.  My computer crashed and when I went to install and restore my back up file, it was from a year ago?  The person on the phone said I chose a wrong file to back up?  I didn't understand because I thought I was backing up a default file and choosing a location to back up to. (?)  They could not answer me as to why I chose a wrong file other than I did.

How do I know I am backing up the correct file?  In my mind it should be default to the current.  I followed the steps as I have before.  I have done this multiple times and never had a problem.

Any information would be greatly appreciated.

Backing up a file

Good day, @Aq1,

I want to ensure you're able to back up and restore your company file correctly.

May I know if you're using the Intuit Data Protect for backing up your files? If so, IDP technically backs up the most recent data of your company file. You'll only need to make sure your firewall ports, programs, and website exemptions are correctly configured to ensure that Intuit Data Protect functions as expected.

To view your Backup History:

  1. Right-click the IDP icon.
  2. Select Open Intuit Data Protect.
  3. Select View Backup History.
  4. The Backup Details page will show you a chronological list of your backups, from oldest to newest.
  5. You can scroll through the history to find the date and time stamp of the backup entry you're looking for.

If you're unable to locate the correct backup file, it would be best to get in touch with our QuickBooks Enterprise Care Team for further assistance. They can help you find your data file and even restore the correct backup for you.

However, if you're manually backing up your QuickBooks Desktop file. You can easily determine the most updated back up copy by looking at the created date of the .qbb file. Just make sure you have marked the Add the date and time of the backup to the filename option to make it easier to distinguish between backup files. Please feel free to get back to this forum anytime, @Aq1. I'm here to help you in any ways I can. Have a great day!

Is there any way to backup or download Intuit Data Protect backup files?

Yes, you can create a backup from your Intuit Data Protect by restoring it from your local drive or any cloud storage, Aggregate228.

Here’s how:

  1. Open the Intuit Data Protect, select Restore from Backup
  2. Choose the file you wish to download, then click Continue.
  3. In the Select Backup Version window, select the version you want to restore, then click Close.
  4. You will see the chosen restore points.
  5. Click Continue.
  6. Select where you want to restore the backup, then click Restore
  7. On the Restore Completed window, click OK.

For more details, you can check the download backed up files section in this article: Set up Intuit Data Protect to back up files.

Once done, you can now restore it on your QuickBooks. I've got this article for the detailed instructions: Restore a backup of your company file.

If you need more help with QuickBooks, please let us know. Thanks.

Backing up a file

I am not referring to restoring of a Intuit Data Protect file. I am talking about completely downloading or exporting a copy of the IDP backup file.

Theres the View my Backup Files option, so is there a way to export these files to a computer, cloud, or other storage device.

Thanks for getting back to us, Aggregate228.

We don't have an option to directly back up the Intuit Data Protect files other than restoring it to your local drive. Then, back it up on your cloud storage.

You might also want to browse this article if you encounter an Out of disk space error for IDP: Intuit Data Protect Backup Failed - Out of Disk Space.

I appreciate you for sharing your idea with us. I'll let our Product Development Team know about the option to export the IDP files for back up purposes. They'll evaluate and put it into consideration for future updates.

I'll be around in case you have follow-up questions.
