Bill entry

Help!  When I enter a bill, my amount in the expense line is doubling.  I will put an amount in the top portion and when I get to the expense tab it automatically doubles when I put the account number in it.  Before I have been able to scroll down several lines and find a duplicate entry (that I never put) but now it's not so easy.  I am using QB Desktop Pro Plus 2022.  This is driving me crazy!  I need help!!

I hear your sentiments about billing and expense issues with QuickBooks Desktop Pro Plus 2022, @Georgia. There's a problem with the software's automatic calculation or data entry.

Ensure that your QuickBooks software is kept up to date. Software updates often include bug fixes and improvements that can address any issues or glitches you may be experiencing.

Here's how:

  1. Go to Help and select Update QuickBooks Desktop.
  2. Select Update Now, then Get Updates.
  3. Close and reopen QuickBooks to install the update again.

Next, we can delete and recreate the bill to resolve the issue: Enter invoices in QuickBooks Desktop

I'm available to help you with any additional support in QuickBooks Desktop. Please feel free to leave your comment or question below.

That didn't seem to help.  Thanks for trying!

This has temporarily solved my issue.  I went into Preferences/General and unchecked the box under "AUTOMATICALLY RECALL INFORMATION."  This just means I have to enter each account number every time I enter a bill which is cumbersome but if it solves my issue, I am happy.  I'll keep you updated after working on it for a day or so.

Updating worked for a few transactions.

This problem started happening with one of our users as well.  We are using Desktop Premier Plus 2021.  It's like the auto-fill is working but you can't see it.  If you leave the account and amount blank it will let you save and close and the payable will be entered.  The problem is you can't see what you're posting unless you go back into the entry to view it.  We tried turning off auto-fill but that doesn't work.  The weird thing is it is only happening on one of our computers no matter who is logged in.  We even tried adding a new user.  Other computers don't have the problem.

Sounds like my issue exactly!  Only happening on one of three computers and only in bill entry section.  I turned off the auto-fill and that seems to have worked but it's odd that some vendors still auto-fill now and some don't even with it turned off.  For now, that seems to have solved my problem but I will keep your suggesion in mind in case it happens again.  Thanks for the suggestion!  I think this is a QB glitch that they need to correct with an update.

Hi Georgia,

I appreciate you reaching out to us here in the Community space. Allow me to chime in and share some updates about the issue when entering bills in QuickBooks Desktop.

Our product engineers received reports about the problem with entering bills. The investigation is ongoing, and we don't have a timeframe yet for the complete fix.

The workaround is to toggle back and forth between the Expenses and Items tab. We've received feedback of this forcing the Expenses tab to equal the transactions total.

Avoid entering anything on the top Bill portion. Instead, start your data entry below at the line item of the bill to prevent the amount from getting out of balance.

The last workaround is the one you've mentioned above. Turning off the "Automatically remember transaction information" option under preferences. However, this may only work for some affected users only.

Rest assured, our engineers are doing their best to get affected users back on track. I  also suggest that affected users contact our QuickBooks Support Team so they can add you to our list of affected users.

This way, you can receive live email updates about this issue. Our Customer Support Team for Pro, Premier, and Plus is available from 6 AM - 6 PM PT (Monday - Friday). For Enterprise, any time, any day. See the steps to get a hold of a specialist:

  1. Open QuickBooks Desktop.
  2. Click the Help tab at the top menu bar.
  3. Select QuickBooks Desktop Help.
  4. Enter your concern, then hit Continue.
  5. Choose Get a callback.

Additionally, you can pull up transaction reports to review transactions you've entered in QuickBooks. I have a link you can use as a guide to filter report data and acquire the data you need for the business: Customize reports in QuickBooks Desktop.

Drop me a comment below if you have any concerns about recording transactions or fixing issues in QuickBooks. We're always available to lend a hand in this space. Take care always.
