Billing with different shipping addresses and different company name on estimates and invoices

Is there an update/fix to the issue that has been addressed many times over 4 years with QB online, regarding the bill to and ship to addresses needing to differ without typing an asterisk? I am new to QB and came here to ask, but see this has been discussed many times.

 

Also, is there an option to add the shipping address without having to click into the edit customer field each time we type an estimate? It does not allow me to enter anything directly into the Ship To field area.

Welcome to the Community!

 

In QuickBooks Online, what you enter in the address field will always reflect in the customer profile which will also reflect on the invoices and estimates.

 

In addition, QuickBooks has an option to use the same location on both billing and shipping addresses. However, if the customer has a different address, you can uncheck that and add another address.

 

Here's how:

 

  1. Go to the Sales tab. Then click the Customers menu. 
  2. Choose your desired customer. Then click Edit.
  3. Scroll down and look for Addresses.  
  4. Untick the Same as the billing address
  5. Fill in the address field. Then click Save

 

For you to see the shipping address, here's how: 

 

  1. Go to Settings. 
  2. Under Your Company column, select Custom Form Styles
  3. Click the Content tab. Then select Header. 
  4. Scroll down, and tick the Shipping button. 
  5. Click Done

Billing with different shipping addresses and different company name on estimates and invoices

Thank you, but this does not work. I have the custom forms setup but when creating an estimate or invoice it still does not allow me to enter any information in the shipping field as I am making the estimate or invoice, it is blank with no option to enter anything. I also have the box unchecked as you mention, so the billto and ship to address are not checked as the same, but it still does not allow me to enter the shipping address when creating the estimate and invoice.

 

Additionally, every order will have a different ship to address, regardless of the billing address. One client account does not have one shipping address - one client account can have hundreds of ship to addresses. If there is a big difference between online and desktop then I really need someone to explain this to me so we can find the best solution for our business. I was only given information on the online version, I am new to quickbooks and did not even know there was a separate desktop version.

I can share additional information about estimates and invoices, @TacoBoutPins

 

Thank you for letting us know about your experience and providing us with more details about your concern. 

 

Once you've added the Billing and Shipping address for your customer, they will be automatically included in your invoices and estimates. To ensure that the Shipping to information is included, go to Custom Form Styles and verify that it has been added to your default templates for invoices and estimates.

 

When you click on the Edit customer button, it'll route you to the customer's profile to update the billing and shipping address that you'd like to enter in your estimates and invoices. 

 

Since you're having trouble with that information when creating an invoice or estimate, I suggest clearing your browser's cache to resolve this. QuickBooks Online uses browser cache and cookies to run faster. There are times that the one you're using blocks web pages from loading.

 

First, you'll have to sign in to your QBO account using a private browser. This helps isolate the issue since it doesn’t store data in the cache. 

 

Here are the following keyboard shortcuts: 

 

  • Safari: Command + Shift + N
  • Mozilla Firefox: CTRL + Shift + P
  • Google Chrome: CTRL + Shift + N
  • Microsoft Edge:  CTRL + Shift + N
