Hi there, @julie-henderson6.
Changing the display name of a team member in QuickBooks Time is easy peasy. I'd be happy to guide you through the steps.
Before we proceed, did you encounter errors upon changing the display name? Any additional information would be greatly appreciated.
To get started, you'll want to know that the display name shown in QuickBooks Time will be based on the first and last name of your team member. However, you can change the display name if you want to. Here's how:

Hi Mark,
We have tried to change the Quickbooks Time Display Name as indicated by you in your response to my query, however I cannot change am unable to even click in the Display Name Box (can only highlight, not alter at all).
In the Team Member Details it indicates that the Display name is imported from somewhere in Quickbooks.
We can alter other details on this page but not the Display Name, First Name or Last Name.
We have only started using Quickbook Time this Week and we have not been able to change Display Name since setting up.
Thanks
I wish I could offer a solution, but I'm here because I'm having the same issue. My display name worked perfectly a couple months ago, then there must have been some kind of update, because it stopped working and now says it's imported from QuickBooks Online, where it just pulls my legal name. I contacted QuickBooks Time chat and they said that it could be changed from QuickBooks Online, but my boss was unable to find a way to change it there.
I am having the same issue. For some reason half of our staff now have Mr. titles in their display name. And there is nowhere to input the title on quickbooks, so im not sure how to even change it. But QB Time does not let you edit it and says that it is imported from QB's. Now I have all the same initials running around on my map (MR)
Welcome to this thread, Pcorp.
Imported display names cannot be modified in QuickBooks Time. Since there's no option to edit the display name of your team members, I suggest contacting our QuickBooks Time Support. They have the tools to help you achieve by correcting the display name.
If you are logged in as an admin and don’t see the option to edit employees, please reach out to our QuickBooks Time support team so they can dive in and take a look.

After 3 hours and 26 minutes on the phone, three visits with QB Time and 2 Visits with Quickbooks Online this is something you cannot change. Pretty sure now.
As others have mentioned, this method no longer works. The field is grayed out and does not allow changes. The con next to the field says "Imported form Desktop". From what I can tell the display name in Time is pulling in the legal name from desktop. I am unable to find a field in Desktop that would update the Display Name.
I'll share with you the steps to edit or change employee display names on your QuickBooks Desktop.
You can make those changes on their profile in your QuickBooks Payroll account. Here is how:
1. Go to Employees, then Employee Center.
2. Double-click the employee name you want to edit.
3. Make changes.
4. Click OK.

For reference I am using QB Desktop Premier Edition 2023.
Unless I am missing something the above steps will change the Legal Name. I want the display name to be something other than the legal name.
Example. Employee Legal Name. John T. Doe
The employee goes by their nickname Sam, so I would like the Display Name to read: Sam Doe.
In Desktop under Employees > Employee Center
I select the employee and look a the "Personal" tab
There is the option for 'Legal Name' and 'Print on Checks As'. There is not a a 'Display Name' option.
From trial and error, I have learned that the 'Legal Name' field in Desktop is what is syncing to the 'Display Name' in Time. Thus the only way to change the 'Display Name' is to change the legal name. I do not want to change the legal name as that is important information that we need to keep. I need a way to have track both the legal name and have a different display name.

I appreciate you for returning to this thread and providing further details about your concern. I see your interest in customizing the name in QuickBooks Time while keeping the legal name intact in QuickBooks Desktop.
The integration between the QuickBooks Desktop and QuickBooks Time applications operates in a manner where the legal name is the one that shows up in QuickBooks Time.
While I understand that you prefer to have a other name than the legal name, I appreciate you sending feedback about this. Our development team is committed to improving our services and providing the best experience for you. I encourage you to share with us through our feedback channel.

Same here. I had to get on the chat with support and they changed it on their end. This is not an uncommon situation among my clients. All of them have at least one employee that needs their "public facing" name to be different from their legal name.
It would be nice if there was a way to manage this on the consumer side and not have to contact support for something so simple as a display name change.
This was my problem and solution.
A staff member had a legal name change. I updated the name under their "payroll profile". But the "display name" on Quickbooks Time was not up updating to the legal name.
To fix this I did the following:
-changed the employees pay type from "hourly" to "salary."
-refreshed Quickbooks Time (I may also have clicked "import" like other people suggested)
-reverted the employee pay type back to "hourly"
Then the "display name" in Quickbooks Time changed to the legal name. I know this doesn't make any sense, but it worked for me.
This actually worked for me also. Thanks
It's been a couple of years since this question was asked but not resolved. After being on the phone with Pro Advisor support today for almost an hour and a half, we figured out that the Display Name of an employee couldn't be changed in any QBO file - neither of my 2 files or the test file the agent was using. He put in a request to have someone in the software department look at it and viola! a few minutes later, a new option showed up in the Employee Edit record to view/change the Display name. Problem solved!!
