Can I merge two general ledger accounts with the same number and name on the balance sheet?11040 First United - Operating11040 First United - Operating

The accounts do not show as duplicate in the chart of accounts but when I go to reconcile the account it is listed twice. Looks like I reconciled one thru 1/31/25 and the other thru 2/28/25.

Yes, you can merge your two general ledger accounts in QuickBooks Online, Cwiersma. Let me fill you in with details regarding this topic and work together to achieve your goal.

 

When using QuickBooks Online (QBO), inactive accounts do not appear in the Chart of Accounts, which can cause them to be listed twice during reconciliation. To avoid this, always make sure the account is active before merging.

 

Here's how:

 

  1. Go to Gear Icon ⚙, then select Chart of Accounts.
  2. Choose the Gear icon ⚙ next to the printer icon, then checkmark the box beside Include inactive.
  3. Look for the account you want to use again, then pick Make Active.

 

After activating the account, you can then start merging them. You can follow the steps I provided below:

 

  1. Go to the Gear Icon , then choose Chart of Accounts.
  2. Search for the account you want to keep, then click Edit from the drop-down icon beside View Register.
  3. Take note of the Name and Detail Type, then click Cancel.
  4. Look for the second account you want to merge with the first account, then click Edit from the drop-down icon beside View Register.
  5. Type the name and details of the first account in the appropriate fields.
  6. Click Save and Close.
  7. A prompt message will appear, then click Yes, merge accounts.
  8. Once done, select Save.
