We need to use two different invoice templates however when do a new invoice and select a particular template - it changes ALL the previous invoices to that template. How do we ensure the invoice template we select does not change all the previous invoices?

Choosing a different invoice template changes all previous invoices

Dealing with issues in your invoices can be challenging, END4WD. I'm here to share the possible cause of this issue and its fixes.

If you use two different templates when creating invoices in QuickBooks Online, it'll not apply to the previously added transactions.

In your case, may I know how did you switch the templates? Are you doing this on the Invoice page or the Custom form styles section? Adding additional details will help us further investigate its cause. A screenshot would be a great help, too.

In the meantime, I suggest accessing your account using a private window. This way, we can determine whether this is a browser cache-related issue. The browser utilizes cached data to load web pages quickly. However, excessive cache can lead to problems that impact the appearance and functionality of your account.

An incognito mode helps us verify the issue since this doesn't save any files. Here are the keyboard shortcuts:

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + N

Once done, check if the correct template applies to all invoices. If so, clear the browser's cache. Doing so deletes all the data from your browser and optimizes its performance. Using other supported browsers also helps us verify if this is a browser-specific issue.

I'll be around if you need more help managing your books with your QBO. Keep me in the loop by tagging me in your reply. Keep safe!

We appreciate what you've done so far, kelly_z. I'm here with additional troubleshooting steps so you can use invoice templates seamlessly.

Aside from using a private browser (incognito), have you considered opening your QBO account through other supported browsers and clearing your cache? If you haven't already, I'd recommend doing so to distinguish if this QuickBooks behavior is browser-related.

Here's the complete list of supported browsers:

  • Google Chrome: version 78 or newer
  • Mozilla Firefox: version 76 or newer. Note: To preview and print forms on Mac OS, you'll also need the Firefox PDF plugin.
  • Microsoft Edge: version 79 or newer
  • Safari: version 12 or newer (Mac only)
  • Opera: version 68 or newer
  • Samsung: version 10 or newer

If it works utilizing another portal, return to your default one and clear its cache. After that, log out and then log back into your account. This will refresh the system and remove older data that causes viewing and performance issues.

If the issue continues even after performing the recommendation above, I'd encourage you to contact our Customer Care team for further investigation.
