Clean/tidy up QBO Account

Hi All,

 

Our company started to use Quickbooks online in April 22 and started to connect Bank account to Quickbooks in May 22. We are currently using Quickbooks for invoicing, entering expenses and payroll. Reconciliations have never been done.

 

Also, we have an accountant who does statements and BAS quarterly for us. We provide him with information of income and expenses in excel files together with bank statement.

 

Now I would like tidy/clean up the account so that I can keep track of all the transactions and get better view of the business. I'm thinking about restarting the account as of 01/07/2022, but I'm not sure what to do, where to start with as I'm new to Quickbooks and I was not the one who set up the QBO account at start.

 

So please help me point the way, it will be greatly appreciated.

You can export different transactions in QuickBooks Online. At this moment, exporting data is limited to reports and selected lists, and import data such as, Bank Data, Customers, Vendors, Chart of Accounts, Products and Services, and Invoices. 

 

To export the transactions, make sure to select the data you'd like to export and save it to your local hard drive. This way, you can import them anytime.

 

Here are the steps to export the reports/lists:

 

  1. Go to the Gear icon, then select Export data under Tools.
  2. Set the reason for the export.
  3. Under Lists select the list/s you want to export. Same with reports (under Reports).
  4. Click on Export to Excel.
  5. If you want to export your reports switch to the Reports tab.

 

Once they're available in Excel, here's how to import them to the second company:

 

  1. From the Gear icon, select Import data.
  2. Choose the data/lists you want to import.
  3. Follow the on-screen instructions to complete the process.

First of all, You cannot purge your QBO account after 90 days. This means you have to set up a new blank QBO account.

Next, export your data to XLS from your old account.

You will import data starting from CoA, Lists, and Transactions. You may need to use a third-party migration tool if you have certain types of transactions to migrate (e.g receive payments, bill payments, journal entry)

Let me help you start over on your QuickBooks Online (QBO) account.

 

In QuickBooks, there are two options to start over depending on how long you’ve been using QuickBooks Online. 

 

  • Accounts with less than 60 days can purge the company file to delete the data.
  • Accounts that are older than 60 days will have to cancel their QBO account. Then start a new one.

 

On the other hand, please take note that purging the account will let you start over by deleting all your data. Thus, there will be no option to keep the selected transaction that you want to remain in your company file nor a specific date.

 

For accounts less than 60 days:

 

  1. Log in to your QuickBooks Online account as an admin.
  2. Change the URL in your browser's address bar. For example:
  3.   • Before: https://...qbo.intuit.com/app/homepage
  4.   • After: https://...qbo.intuit.com/app/purgecompany
  5. Type Yes to confirm the action.
  6. Click Wipe Data.

 

For accounts 60 days older:

 

  1. In your QBO account, click the Gear icon and select Account and Settings.
  2. Go to the Billing and subscription tab.
  3. Select Cancel subscription.
  4. Follow the onscreen instruction to cancel your account
  5. Then, sign up for a new QuickBooks Online account to start a new company.
