Clear Old Check from 2020 from the Credit Card Reconciliation Window

An old check for $28.25 from February of 2020 is still showing up to "reconcile" in the credit card reconciliation window. I would like to clear it out. Apparently, I didn't clear it back then and waited this long to clear it!! The check has cleared the bank. But to this point, the credit card reconciliation still shows that amount of $28.25 How can I do this? Is the best way to clear it out to undo all the reconciliations to this point, which is from February 2020 to December 2021? Or, is there an easier way?  Thank you!

Clear Old Check from 2020 from the Credit Card Reconciliation Window

Welcome to the Community, @heinz1.

I'm here to help clear the old check showing in the Reconciliation window.

It's possible that the transaction wasn't clear from the bank register that's why it's still showing in the Reconciliation window. To get this fixed, let's go to your bank register and manually clear your transaction from there. Here's how:

  1. Open your QuickBooks Desktop company file.
  2. Go to the Accountant menu, then select Chart of Accounts.
  3. Select the Credit Card account.
  4. Find the old check that is showing in the Reconciliation window.
  5. In the Checkmark column, repeatedly click the box until it is marked as Checkmark. The Checkmark icon means that the transaction is cleared from the bank.

Once done, go back to the Reconciliation window and verify if the old check is no longer showing.

If get the same result, I recommend undoing your reconciliation to fix this issue. To do so, you can check out this article for more guidance: Reconcile previously deleted and re-entered checking or credit card transactions.

You might encounter issues with your balances when reconciling accounts. This article will help you fix it: Learn the reconcile workflow in QuickBooks.

I'm still open to your replies, @heinz1. If you have further concerns about removing transactions from the Reconciliation window, just comment below or post again.

Thank you, I will give that a try! But, if I need to undo the reconciliation, I would have to undo all of 2021 and February-December of 2020.....is undoing all these reconciliations okay to do? And once all are undone, I would re-reconcile but when it asks to create a bill payment, I do so, but then "clear" the payment, correct?

Hello there, @heinz1. I appreciate you for considering the steps shared by my colleague.

In QuickBooks Desktop, you do a special reconciliation to fix the reconciled transactions that are showing as unreconciled.

Yes, it's okay to undo all of 2021 and February-December of 2020 entries ( if needed). However, I'd recommend consulting your accountant to make sure everything is properly set up. Your accountant will ensure your account and entries will remain accurate.

Still, you're right. You'll have to create a bill payment if prompted. Then, clear the payment. I've got this article about fixing transactions in your bank account and credit card account. This also provides reasons transactions that are already reconciled show up as unreconciled.

Clear Old Check from 2020 from the Credit Card Reconciliation Window

Thank you!

Another question, for a different credit card reconciliation, the discrepancy report is showing that -$29.31 cannot be found, it was deleted and the date is 6/12/2020. Do I just go in and re-enter the -$29.31 as a credit card transaction using 6/12/2020 as the date? Or can I just put it as a bank charge in the reconciliation window to clear it out?

Thanks for getting back to us, heinz1.

You can either enter a credit card transaction or put a bank charge while reconciling the account. Both processes will still record the entry.

Just make sure that the credit card transaction is posted to the correct account. That way, you'll be able to see it on the reconciliation window.

I'm adding this link for additional information on how to record credit card entries: Learn how to set up, use, and pay credit card accounts in QuickBooks Desktop

Please know that we recommend you back up your company file before reconciling any account. This is to ensure you have a copy and can go back in case you have issues during the reconciliations.
