Customer Invoices

We use an IFF importer from Salesforce to import our customer invoices into QBO. I have several invoices that are paid in full through Salesforce but in QBO, there is still showing a balance. How do I get these corrected so the customer's invoice is showing paid in full?

We also have the opposite happening. The invoice in Salesforce is showing paid in full but the customer invoice is showing a credit like they overpaid?

Thank you

Customer Invoices

You can create a receive payment for the invoice that shows a balance and credit, Pritchie. The payments may unlink after importing from Salesforce to QuickBooks Online. Let me guide you with it.

Since the invoice is still displaying as unpaid after importing, you'll need to create a receive payment to update the status to paid. Here's how:

  1. Select + New and click the Receive payment option.
  2. From the Customer dropdown, select the name of the customer.
  3. Choose the Payment method dropdown, and select the payment method (credit card, debit, PayPal, Venmo, or ACH bank transfer).
  4. From the Deposit dropdown, select the account you put the payment into.
  5. In the Outstanding Transactions section, select the checkbox for the invoice you're recording the payment for.
  6. Enter the Reference no. and Memo if needed.
  7. Choose Save and Close.

For more details about the process above, open this article: Record invoice payments in QuickBooks Online.

Also, when importing invoices in the future, review the data mapping to ensure correct import. For guidance, refer to this link: Import multiple invoices at once in QuickBooks Online.

I'll add these links that will guide you in importing other data and how to deposit the payments to the correct account in QuickBooks:
