Deleting transactions in a closed year.. is this possible?

Hello,

I have a user who was able to delete a 2022 transaction even though the year was closed by my accountant and the user has no access to their password. The accountant now has to redo the reconciliation for that year. Anyone else have had this issue on QB online? How do you stop it from happening again?

This employee is an all access standard user. Yes I reviewed the audit log and a deleted deposit was the transaction in May 2024 and it was related to the initial transaction that was done in 2022.

It is important to note that if your books were closed and secured with a password, we can no longer edit or modify transactions from that specific period. There is a great chance that the standard user has the password, the Allow changes after viewing a warning option has been mistakenly selected, or the Close the books feature has been temporarily disabled, which is why they are able to perform the action.

 

If you've verified that the Allow changes after viewing a warning and entering a password is enabled and the user didn't know the password, I recommend contacting our technical support team. This way, we'll be able to investigate the issue further. Here's how to connect with us:

 

  1. Select Help (?) at the top right corner.
  2. Go to the Search tab.
  3. Type "Contact Us" in the search bar, then select Contact Us at the bottom.
  4. Write down your concern, then click Let's talk.
  5. Choose Chat or Callback.

 

Moving forward, it's essential to ensure that your password policies are strong. Additionally, you can consider limiting the permissions of your workers to certain features and data within the account based on each user's job responsibilities and necessary level of access.

Looks like, as usual, Intuit employees fed you a lot of blather but failed to answer your question.

 

Yes you can delete it.  It will throw off your reconciliation.

 

I don't know why none of the customer service employees didn't just answer your question.  My current theory is they are paid by the answer and if no one actually answers they all get paid.
