Downloading company data prior to cancelling QB Online

I am thinking of cancelling my QB online subscription, but I would like to know how I can download my data prior to doing so.

Hi @sandhillsgirl78 . 

 

Thanks for reaching out here in the Community today. You can cancel your subscription by following these steps:

 

  1. Click the Gear icon in the top right side, select Account and Settings.
  2. Choose Billing & Subscription.
  3. Click the blue Cancel link in the Subscription status section.

     4. You'll be asked if you'd like to call in, change your plan, or Continue to cancel.
 

Once done, the Master Administrator will get an email verifying the cancellation. You can still be able to log in to your account with read-only access for a year to be able to print forms and reports that you might need in the future. After a year, we will notify you before we delete your account in our system.

You also have an option to export your QBO data Excel or to your desktop version of QuickBooks up to a year after you cancel. Just a quick heads up, we have limitations in terms of converting QBO data to QBDT data.

You can export or print your reports, lists, and other data to Excel before you cancel your account. This way, you can use them for your future use like tax filing. To export your reports and lists, here's how:

 

  1. Go to the Gear icon, then pick Export Data under Tools.
  2. Select the reports or lists you want to export.
  3. Tap on Export to Excel.

 

For your inventory or product and services, just follow the steps below:

 

  1. Click on Products and Services under Lists from the Gear icon.
  2. Choose Run report from More's drop-down arrow.
  3. Hit on the Export icon beside the Print icon, then choose Export to Excel.

 

Once done, downloading your company data, you can now cancel your account. Keep in mind that, you'll have read-only access to your QuickBooks Online data for one year after the cancellation.

 

If you never paid for a subscription and you were in a free trial or if your trial expires, your data is available for 90 days. I'll be attaching some articles that you might find helpful before you cancel your subscription with us:

I followed your instructions. After notifying that my data was being "boxed up", the program declared that I had successfully exported the data to Excel, but I don't find anything in my Excel app. Any ideas?

The first thing you can do is ensure your MS Excel is up to date. After that you can go through the same process of exporting your data. Kindly double check the location where you saved the file to locate it immediately.

 

You can check this article if you have other reports, lists, or other data from QuickBooks Online (QBO) to export.

Another option migrate your data to QB Desktop file format. You can utilize the trial license of QB Desktop to open it later.
