Duplicate Receipt Images

I'm on the Expense screen and want to attach a receipt image.  So under the Attachments box I click "Show existing".  The "Add to Expense" window opens, but it shows duplicate images for some of the receipts (6 copies of the same image).  If I close that and go to the Receipts screen (under Transactions), I don't even see that image at all, not one instance of it in "For Review" or "Reviewed".  What's going on with the "Add to Expense" window?  How do I correct this issue?  I can't find a way to remove these duplicate receipt images.

Duplicate Receipt Images

I can share with you some insights and steps on how to remove duplicate receipt images in QuickBooks Online.

 

When you attach images to QuickBooks, they show up in the Transactions menu, under the Receipts tab. This is where you categorize and track uploaded expense receipts and bills. 

 

To remove duplicate images, we can open the transaction. From there, we can delete the image under Attachments. Let me show you how:

 

  1. Sign in to your QuickBooks Online account.
  2. Go to the Expenses tab.
  3. Click the transaction to open.

  4. Under Attachments, click the x icon next to the duplicate image. 
  5. Lastly, click Save.

Once done, you can go back to the Expenses window to verify if the duplicate images were removed.

Duplicate Receipt Images

Thanks for the quick response.  Your instructions make sense, but don't address what I'm experiencing.

 

Let's say I'm creating a new expense, and I want to add an attachment.  When I go through those steps, I'm seeing a bunch of receipt images that technically don't even exist, at least when I compare to what I see on the receipts screen.  And some of these images are duplicates.  It makes the process of creating new expenses more difficult.  I have to weed through all of these receipt images, and I would prefer to somehow prevent these receipt images from showing up.

Duplicate Receipt Images

Captured receipts will not appear in the For Review tab. because they are intended to be matched to the existing transaction in QuickBooks Online and added directly to the register. They have somehow the same function as downloading bank transactions which you can also add or match.

 

To avoid duplicates you can delete the receipts then match or add them. Also, voiding or deleting the one that was already recorded in QBO is another option.

 

Here's how you can void or delete a duplicate:

 

  1. From the menu, select Sales or Expenses.
  2. Look for the transaction and open it.
  3. Review the transaction. Make sure you need to void or delete it.
  4. If you want to include the void or delete date, add a note to the Memo or Message section.
  5. In the footer, select More
  6. Select Void or Delete.
  7. Click on Yes to confirm.

Duplicate Receipt Images

That wasn't it...but I figured it out.  I went to the app on my phone and found in the Activity section, it showed several "Notes" that contained an image.  Those images are the ones that were showing in QuickBooks Online that were confusing and I couldn't delete.  But I was able to delete the "Note" on my phone, which then caused them to no longer show online.  So, problem solved...strange issue, but solved nonetheless.
