Exporting file & transactions from old file to new file with Excel

Has anyone had any experience with exporting file and transactions from a company file into a new company file?

I would like to keep my old company file and then start a new one and only export the last 5 years of transactions into the new file.  Is this possible and how can we insure there are no errors??

Hello @Misty Johnson. Glad to see you again in the Community. I'd be happy to share more details on how to export your company files and transactions in QuickBooks Desktop (QBDT).

 

Currently, exporting transactions from QuickBooks using .IFF file is unavailable. You can use this to export the company lists only. I'd recommend checking with our third-party applications to export the transactions.

 

Before proceeding with the export process, I'd suggest backing up your company file. Here's how:

 

  1. Go to the File menu.
  2. Select Back Up Company.
  3. Choose how you want to back up your file.
  4. Follow the on-screen instructions.

Exporting file & transactions from old file to new file with Excel

I'd be glad to help with your question about exporting data from QuickBooks, Misty.

 

I'll also share the steps on how you can export your data using an .IIF file. This type of file can easily be opened on Excel or imported to a new company file

 

Here's how:

 

  1. Go to the File menu, select Utilities, and then Export > Lists to IIF Files.
  2. Select the list you want to export and click OK.
  3. Browse the location where you want to save your file and click Save.

 

Please take note that this only export list elements (vendors, customers, chart of accounts, and other lists), and not the actual file or transactions. Please see these articles for more details: 

 

 

Then, import the file into the new on. Check out this article for the complete set of instructions: Start a New Company File with Data from Your Existing File.

 

If you want to transfer the actual transactions, you'll want to use a third-party app that offers this type of service. You can look for approved and accredit apps here: https://desktop.apps.com/home.
