File size limitations

We started with QB back in the nineties and used it successful fro many years until it stated making mistakes. We conytacted QB and they said we had too much info ( several hundred customers and to switch to Enterprise which could handle whatever we threw at it which wasn't the case because we did condensed and purge over the years. In 2017 our file approached 900,00 MB and started acting wonky, We contacted QB and they said the file size was too large and it crashed. We ended up having to manually reenter a lot of data into a new file at great expense. Yesterday we found out there is a 2022 version we and upgraded the software from the 2020 version we were using, No one from Intuit ever contacted us via, email, snail mail or through the update process to say a new version was available. After the upgrade it won't work, we can only open the new file on one computer at a time despite all of the computers interacting with other folders and programs on the server with no issues. We ran the gamut of QB Hub tools to na avail. When we called support a nice gentleman in India said that our 300K MB file was too large and wouldn't work and then didi his best to try and upset another "diamond" version for $5000 which would fix everything. Since the information is taking up space on my server not in the cloud why would they expect anyone to pay that crazy amount for less than two GB?  Also they did away with the scan manager which was integral to our business to scan receipts, work orders etc to customer files. Very unhappy tonight...

1. Did you call a certain number to talk to that support person in India?

2. Can you share the screenshot that your file size is 300K MB (or around 300 GB)?

3. Were you using QB Desktop 2020 Enterprise edition earlier? Can you login to your CAMPS as Primary Contact to check your license status?

I recognize your frustration about the file limitation in QuickBooks Desktop. I'm here to share some information.

 

There are no actual size limits for your company's data file. However, performance may suffer if your network is incapable of handling large data files. As the size of the company file grows larger, QuickBooks' performance deteriorates.

 

Additionally, check this article for more information on how to reduce the size of your file and how to resolve performance issues in QBDT.

 

Furthermore, the Scan Manager feature was discontinued in QuickBooks Desktop 2022. You can still use Scan Manager in previous, currently supported versions. For the latest version, you can now use the QuickBooks Desktop mobile app and upload your documents to the system using your mobile device.

I would recommend these options:

1. Chat Support to request the refund for the last renewal.

2. If you have already upgraded to QB Desktop 2022, you can purchase the one time license for QB Desktop 2022 Accountant edition for 5 users. Otherwise, you can still purchase the one time license for QB Desktop 2021 Premier for 5 users.

 

3. Purchase a 3rd party downgrade service to open your file on QB Desktop Accountant/Premier

 

4. Purchase a 3rd party service to remove inactive lists and audit trail to lower the file size < 200 MB. You should keep your file size no bigger than 150-200 MB to run it on QB Desktop Accountant/Premier in good performance.

I'm not interested in doing that, I'm simply trying to get a straight answer about file size for Enterprise.....

File size limitations

The Enterprise version was designed to handle a much larger data file than Pro/Premier. There are some businesses running smoothly today with data files over 1 GB (gigabyte). There is no hard and fast rule on this topic. Nor is there any way to know exactly how many invoices, estimates, etc. will get your data file to become “too big”. But as I mentioned earlier, QuickBooks data files larger than 500MB need to be optimized every 6-12 months to ensure they run at top performance. There is no internal functionality in QuickBooks to optimize the data file other than running a condense. The optimize operation will copy all data into a new data file, remove unwanted temporary data, and audit trail data to bring down file size by 25-40%. This will improve the performance and stability of the data file.

I agree with Fiat Lux -ASIA. There is no specific file size limit for QuickBooks Desktop Enterprise as it s designed to handle large file data. Thus, this should work unless there is damage to the data itself.

 

To confirm if the data is in good condition, let's try updating your QuickBooks Desktop to its latest release version, I suggest doing so. This can fix the common errors within the software.

 

Here's how to manually update your software:

 

  1. Go to the Help menu.
  2. Select Update QuickBooks Desktop.
  3. Click the Options tab.
  4. Select Mark All and then click Save.

  6. Select the Reset Update checkbox.
  7. When you're ready, select Get Updates.

Once done, you can run the Verify Rebuild Data tool in QuickBooks Desktop. This tool is used to fix any possible data damage within your company file. Let me show you the steps on how to perform this below:

  3. Select Rebuild Data/ Verify Data.
