How do I delete that file from 2020 Desktop QuickBooks and just enter 12.31.23 Trial Balance?

You can run the Condense Data utility to remove data prior to 1/1/2024 on your QB Desktop 2020. Then you can convert the condensed file to QB Online.

How do I delete that file from 2020 Desktop QuickBooks and just enter 12.31.23 Trial Balance?

Rest easy, jack. I’ve compiled all the steps you need to delete the specific entries in your Trial Balance.

The Trial Balance is an accounting report and cannot be deleted directly. However, as mentioned by Chrea, we can use the Condense Data Utility in your QuickBooks Desktop (QBDT) 2020 to remove specific transactions up to the specified date. Following this process, you can override the entries you initially migrated, providing a fresh start and clean data in QuickBooks Online (QBO).

Before proceeding, ensure to reconcile your account, print or save all your reconciliation and discrepancy reports, and back up your company file.

Now, let me walk you through the process of condensing your company file:

  1. Navigate to the File menu, then hit Utilities.
  2. Choose Condense Data.

  3. Click Remove the transactions you select from your company file. Choose the transactions you want to remove. Hit Next.

  4. Pick the transactions you’d like to remove, then click Next.
  5. Select how transactions should be summarized, then hit Next.
  6. Choose how inventory should be condensed, then select Next.
  7. Pick recommended transactions you’d like to remove, then click Next.
  8. Choose List entries you’d like to remove, then hit Next.
  9. Then, Begin Condense and wait for the process to complete.
  10. Once done, hit Close.

Afterward, migrate your condensed data to QBO. This process will ensure that only the relevant and cleaned data is transferred.
