Buy nowHello tina-gilliansega,
Thanks for reaching out to the QuickBooks Community! If your billable expenses are tied to an invoice, you can confirm if it was. Once the invoice was paid off, it would indicate the linked expenses were also. I am attaching this link which goes into detail about creating billable expenses and how to add them to the invoice.
Let me know if you still have any lingering questions about this! I will be more than happy to address them. Bye for now.
HI there,
Thanks for responding but I don't think that answered my question.
What I am needing to know is how do I verify that a billable expense has been billed to the client?
I spent 2 hours with support yesterday, and they as well, could not help me or even understand what I was asking. I have a billable expense allocated to a customer.... it doesn't come up on the right hand side "add to expense" when I initiate a new invoice to bill the client. There must be a way to check if this expense was already billed or not? There used to be a check for this in Quickbooks Desktop.
The countless time looking for the right report ends here, tina-gilliansega.
I know a report that'll provide the details you need. Let's run and personalize the Transaction List by Customer. Here's how:
Additionally, I've added an article that'll help you save the current customized settings of the report. This helps you easily access it in the future: Memorizing Reports.
Don't hesitate to post again if you have other questions about running and customizing your reports. I'm always around and happy to help. Take care and stay safe!
Hello,
I received a message about running a report for billable expense charges. This did not help me with knowing whether or not a billable expense was billed to a client or what client invoice it was billed on. I am very familiar with how billable expenses work but what I am not clear on, is how to double check that a billable expense ended up on a client invoice. I have a couple of billable expenses that I cannot find on a client invoice yet when I open the expense, the client is selected.
Hello, @tina-gilliansega.
I can share additional information that can help you with checking your billable expenses.
You can try running Unbilled Activity from your Transactions page to check transactions that you've marked as billable and that you haven't created an invoice yet.
Check out these steps:
From here, you can create invoices, mark the transaction as non-billable, or delete it. Check out this article for detailed guidance: Delete customer with unbilled charges in QuickBooks Online.
After creating an invoice out from the billable expense, here's how to record invoice payments: Record invoice payments in QuickBooks Online.
Please know that I'm only a few clicks away if you have any other questions or concerns about your billable expenses and invoices. I'll be here to assist. Have a wonderful rest of the day!
HI all,
I know this is an old thread, but I had the exact same issue and none of the methods mentioned here worked for me. So I thought I would share what worked for me in QBO.
I have an expense that I thought had already been billed on an invoice, but wasn't sure. The client had a ton of complex invoices. My options to check were:
1) go through every invoice line by line
or
2)
- Go to SALES on the left hand side.
- Select ALL SALES on drop down, or if you already clicked on sales, find it on the top bar
- Search for your CUSTOMER in the drop down box
- SORT by amount, date, or memo to make it easy to identify the charge
- Once you find the charge, in the status column it will say "Converted" if you applied it to an invoice and "open" if you didn't.
- On the right side, click the triangle and choose VIEW ACTIVITY. That will show you what invoice it is applied to. you can click through to the invoice to confirm.
Hope that helps!
