How do I record a sales tax payment from 2023 that remains open in my bank transaction tasks. I tried adjusting the dates to 2023 to find in sales tax section no luck

I limited the dates to 2023 in the Taxes/Sales Tax section but the amount due was not found for all. I am using Quickbooks Online Startup edition.

Hello there, gtorbenson.

First, check that your sales tax settings are correct. Click on the Taxes tab in the left sidebar and then select Sales Tax. Make sure your sales tax rates and agencies are properly set up.

Then, we can record the payments manually. Here's how:

  1. Click the + New button on the left.
  2. Select Bank Deposit under Other.
  3. Choose your payment bank account from the dropdown.
  4. Enter the payment date (make sure it's in 2023).
  5. In the Add funds to this deposit section:
    • Received From: Select the sales tax agency.
    • Account: Choose "Sales Tax Payable".
    • Amount: Enter the payment amount.
  6. Click Save and Close to complete the payment.

Thanks for reply, just so I’m clear, this is a payment made to the taxing authority, not a payment or deposit received.

When I follow the steps provided, I do not have the account type titled “Sales Tax Payable”, should I select “Sales Tax to Pay”?  When I enter the amount as provided, and select the Sales Tax to Pay account my bank balance goes up but shouldn’t it be going down as it’s a payment.

Thank you for sharing the details of what you’ve tried so far and appreciate the effort you’ve put into resolving this, gtorbenson. Let’s take a closer look and make a few adjustments so your records reflect correctly.

I noticed that you selected the Sales Tax to Pay account, but this caused your bank balance to increase unexpectedly instead of decreasing. This happens if the account is incorrectly categorized or if the transaction is entered as a deposit rather than an expense. Don’t worry, we’ll get this sorted out!

To correctly record a payment to the taxing authority, please follow these steps:

  1. Go to + New on the left menu.
  2. Select Expense or Check depending on how the payment was made.
  3. In the Account field, choose Sales Tax Payable or the correct liability account assigned to track sales tax amounts.
  4. Enter the payment details, including the amount paid, the taxing authority as the payee, and the payment date.
  5. Save the transaction.
