How to rename default file attachments on emails

Hello, we are using QuickBooks Enterprise Solutions: Manufacturing and Wholesale 23.0.  When I use the email function to send out estimate, it automatically creates an email with the estimate as an attachment, and names that file Est_100_[Company Name]_[random number].pdf.  Is there a way to:

1. change the "Est" in the beginning of that file name? Ideally I would like it to say "Quote".

2. get rid of the random number at the end of file name? It is not the date nor user ID, it seems to be meaningless.

Thanks in advance,

Ben

How to rename default file attachments on emails

Thank you for reaching out to us, Ben.

I acknowledge your desire to customize the default file attachments on emails to better meet your needs. However, we can only modify the default email text in QuickBooks Desktop.

This is a valuable consideration, and I'm here to discuss how we can address this to enhance our service. While it's currently unavailable in QuickBooks Online, we're actively looking into ways to implement such a feature in the future.

To ensure it receives attention from our product engineers, I suggest using the feedback option, enabling us to enhance the program's features accordingly.

Here's how:

  1. Navigate to the Help option.
  2. Select the Send Feedback Online option.
  3. Choose the Product Suggestion option. A pop-up window displays.
  4. Enter your feedback suggestion.
  5. Click the Send Feedback button.

Furthermore, I encourage you to take a look at the provided links, as they offer guidance on customizing and sending your forms in bulk. This can streamline your processes and save you time when dealing with multiple forms:

If you have additional concerns with attachments, please don't hesitate to reach out. We're here to listen and collaborate with you to enhance your experience with us.

Hi Rubielyn,

Thank you for the reply, I appreciate it nonetheless. Just out of curiosity, do you know what the random numbers at the end mean?

Hello, @LightingB.

I'll share some information regarding the random numbers at the end of the file name of your estimate.

The random number at the end of the automatically generated PDF file name for emailed estimates in QuickBooks Desktop (QBDT) is a unique identifier assigned by the program. Even though it may look random, it serves the important purpose of ensuring each attached estimate file has a unique name.
