I created an invoice, and it look different when the client received the bill?

I created and invoice in QB, the 1st date was 4.1.2025. When the client saw the bill, the 4.1 was not in the proper numerical order. it was down under say, 4.6.25. I sent the invoice two times, and the sequence was not correct.

You have to make sure your payment terms are configured correctly so that your invoice date matches the bill, ymoree.

In QuickBooks Online (QBO), the difference between the invoice date that you've created and the bill received by your client is due to the payment terms outlined in your invoice. To align your invoice date with the date on the bill received by your client, we need to modify your payment terms.

You can follow the steps below:

  1. Go to Sales and select Invoices.
  2. Find the invoice that you want to modify, then select View/Edit Invoice.
  3. Take note of the term used located on the upper left side of your invoice, then close the invoice.
  4. Go to Settings, then select All lists.
  5. Select Terms.
  6. Find the term used on your invoice.
  7. In the Action column, select Edit from the dropdown.
  8. Make sure the Due in fixed number of days is set to 0.
  9. Select Save.

Once done, you can then reselect the term on the invoice for the adjustments to take effect. However, if the issue persists, look for a similar term with a different name in the Terms list and make the necessary edits.

Additionally, I'll share this article in case you want to personalize and add specific information to your sales forms: Customize invoices, estimates, and sales receipts in QuickBooks Online.

Lastly, here's an article you want to check if you want to accept online payments for online and in-person sales with QuickBooks Payments: Receive and process payments.
