I currently use Quickbooks Pro 2021 desktop version and I am getting notifications that I am 300 items away from reaching the max item limit.

Welcome to the Community! Let me share some insight into list limitations for QuickBooks Desktop Pro 2021. 

If you're 300 items away from reaching your max item limit in your QuickBooks Desktop Pro account, the best route would be to upgrade to QuickBooks Desktop Enterprise. With this desktop version you'll be able to have >100,000 items instead of having a max of 14,500 with the system you're using now.

Also, with the online version, there isn't a way to display it as the desktop layout.

You may have 3 options:

1. Upgrade to QBD Enterprise

2. Create a new company file and migrate data only from a certain period.

3. Purchase a 3rd party condense service.

Yes QuickBooks Pro includes the Condense feature.

If many of your items haven't been used in some time, and you remove the data that uses the items using the Condense feature, it can also remove those items.
