Importing invoices and enabling Pay online into QB Desktop 2020

We import invoices from a 3rd party software.  I can change the IIF format if needed.  I have all of my customers set up to enable online payment.  When i import a new invoice however the default state for the Online pay option is set to off.  Is there a switch in the IIF which can enable this feature or do i have to change every single invoice i import manually?

Unfortunately there is no setting in the IIF file format for this.  Intuit could add it anytime but they haven't.

So any invoice I import from an IIF will have a default status of online payment disabled.  For every invoice i import, I will need to go into each one and click to enable online payments?  Seems like Intuit should be able to put a switch in an IIF to enable that feature if they want people to use their online payment systems.  I generate >50 invoices a week so clicking on each one individually seems unrealistic, especially because there is a client option that says enable online payments.  

I hope someone is listening.

I appreciate you providing details about your concern. The online payment option will be applied to the invoice if the setup is created inside QuickBooks Desktop. Since the invoices are imported, the feature's status will be based on the imported file. 

 

If the IIF file is from your third party software, I suggest reaching out to the app's support team. This way, they can assist you further to enable the feature in your IIF file.

I am happy to reach out to my software vendor but based on all information they have an the reading i have done on the links you provided, there is no reference to enabling online pay from within an IIF. I read both the IIF file format links and the online payments link and neither provide guidance on how to enable online payments via an IIF file.  Can you provide a reference that specifically mentions the online payment option as it relates to an IIF file?  Once I have that, I can provide guidance to my 3rd party software company and they can modify the IIF structure.

We don't find any fields related to online payment in Invoice data of QBD file. It means company doesn't allow us to modify them whatsoever.

I reached out to my software vendor (Autotask), they reported that Quickbooks does not make any field related to online payments available to them.... Meaning, they have no control over this.

 

Autotask uses Quickbooks Web Connector to import invoices.

 

The only way I have found around this is going into EACH invoice manually to re-send... Not feasible for 100's of invoices each month. 

 

This is a bug in Quickbooks, it should be applying the customers payment settings on the fly as invoices are being imported.

Consider having another payment processor to integrate with your QB Desktop with a connector. It supports more than 20 payment processors in the market.

I'm having this same issue. 19+ invoices sent out weekly and every time I need to manually go into each invoice to enable Credit Card payments? Not scalable. This issue makes me want to consider looking for solutions outside of QB.  QB, please add this feature when importing CSV's.

The online payment option will be applied to the invoice if the setup is created inside QuickBooks Desktop. If the invoices are imported, the feature's status will be based on the imported file.  To learn more about turning on payments so your customers can pay you directly from the invoices you send them, see the Send online invoices in QuickBooks Desktop article.  We recommend submitting product suggestions to our engineers about your request when importing CSV by following these steps:

  1. Go to Help at the top menu bar.
  2. Choose  Send Feedback Online.
  3. Click on Product Suggestion.
  4. Click on the drop-down for Type of Feedback and select Product Suggestion.
  5. Select the Product Area.
  6. Then enter your thoughts and suggestions.
  7. Once done, select Send Feedback.

 

Ideas like this are helpful in identifying the features our customers want the most for consideration in future enhancements. Your valuable feedback goes to our Product Development team to help improve your experience in QuickBooks.

Thank you so much for replying.  We use a import file which I can have modified if the "pay online" trigger exists in the import.  Just tell me where the switch goes and I will put it in there.  additionally the warning about "Import your IIF File"can be irritating because the software finds errors which we cannot diagnose but if i choose to import without review everything works correctly.

Good morning everyone - I am also a QBO user and use SaasAnt to import invoices.  Has there been a solution to this yet?  We send over 500 invoices a month.  Scale is definitely an issue.

I can see how you want the IIF feature to work perfectly every time you import multiple invoices. You'll want to submit feedback to our developer's team so they'll know how important is this for your business. Just make sure no related request has been submitted before requesting another one.

Ms. Maria, Could you reach out to me to help me understand how to resolve these issues?  or provide me a contact number.  I am in the same scenario as the other poster.  We generate more than 500 invoices a month.  I really like QB but the importing of IIF invoices functionality has gotten worse over the years.  I would love the ability to send a link for a client to pay their invoice via a pay link through QB and I would be happy to pay the service fee if i didnt have to provide a staff member to enter payment information.

I'll ensure that your customer can pay their invoices using the payment link through QuickBooks Desktop. This way, you and your customer can save time. 

 

That's not the experience I want you to come across using our import functionality. With this, I recommend sending feedback to our engineers so they can figure out a solution to solve this problem in no time. This way, your overall experience in QuickBooks will enhance. You can follow the steps outlined by RCV above. To follow up on your feedback, you can go to our Customer Feedback status for QuickBooks. This page is also where you may vote and give feedback for any future suggestions.

 

You'll need to enable online payments to all your clients in your QBDT preferences for your customer to use this feature. To do this, follow the steps below: 

 

  1. Go to the Edit menu and select Preferences.
  2. Choose Payments and pick Company Preferences.
  3. In the Online Payments section, pick payment methods you want to make available to all customers and click OK
  4. Hit Apply to existing customers.

No no...QBO IS setup for take payments for ALL new invoices but imported ones from Alldata sure dont, it must be enabled each time- its irritating
