Inventory Management with bundled items

My company assembles electrical controller boards that we use in our other products. We source all of the components, including the printed circuit boards, and assemble them together to make a "Main controller board". When I make an estimate for the customer I want to be able to quickly add the "Assembled PCB" as a line item so that all of the various items (resistors, diodes, terminals, etc. etc.) are taken our of my inventory quantities.

 

To do this I created a "Bundle" called "Assembled - Main PCB controller" which contains each item and their quantities. When I create the estimate I enter the bundle "Assembled - Main PCB controller" as a line item, but then it show ALL of the components as line items. Again, my main goal is to manage my inventory. I don't want to confuse the customer with 10+ lines of items.

 

Is there a way I can bundle the items but not have all of the miscellaneous items show up on the estimate/invoice?

Creating an invoice will automatically reduce the quantity on hand of the component items, LitBusiness.

 

This means that you don't need to make a manual adjustment every time they're used in a sales transaction.

 

There are times that too much cache and other browser issues can cause delays or unexpected results when recording transactions in QBO. I'll help you check if that's the reason why it's not reducing the number of stocks. Here's how:

 

Start by logging in to your account using an incognito/private browsing session or switch to a different browser. Use these keyboard shortcuts to open an incognito session: 

 

  • Ctrl Shift for Google Chrome
  • Ctrl Shift P for Firefox
  • Control Option +if you're using Safari
  • Ctrl Shift P for Microsoft Edge

 

Then, create an invoice with the bundle item on it. If the quantity is reduced automatically, switch back to the regular session and delete your browsing history. This clears out the saved data or cache that's causing the issue.

I'm here to guide you can send transactions without showing the bundle components.

 

You'll have to modify the bundle items and uncheck the Display bundle components when printing or sending transactions option.

When your customers are ready to make a purchase, you can convert the estimate to an invoice. Then, they can pay it online. I've added these references for more information about creating an invoice from the estimate and paying it online:

Thanks, Adrian! It's been a while since I was impressed with a company's level of customer service!

 

So when I put this bundle on the invoice, will all of the components, specifically their quantities, be pulled from my existing inventory quantities, or do I have to manually go in and subtract them? For example, the main PCB uses 4x resistors and I have 160 on-hand, when I send the estimate, or invoice, will the new on-hand amount be 156? I tried this and it doesn't seem to be auto-updating those quantities...

QBO doesn't offer any assembly feature. Consider having a 3rd party app to do so.

I tried the Incognito tab and clearing my cache and cookies, but I still don't see my quantity on hand change when I submit/save/send an invoice to a customer. For example, my bundled main PCB board uses 4x terminal blocks. When I add the bundles item to the invoice and save/send it to the customer, the quantity doesn't change in my inventory.
