Memorized Transactions Group Names

For some users of my company file the memorized transactions look normal, there is a group name and then the transactions are listed, left screenshot in the picture.  For others the group name is also on the line with the transactions, right screenshot.  I can't find any preference or setting that would do this or undo this.

Memorized Transactions Group Names

The memorized transactions list could have been damaged, @zjschultz. That’s why this displays as a flat view instead of the default hierarchical view for some users. We can fix this by utilizing the Re-sort List to rectify these display changes.

 

Here’s how:

 

  1. From the Memorized Transaction List window, click the Memorized Transaction button.
  2. Select Re-sort List.
  3. Hit OK.

 

It’s important to note that all users with access to a shared memorized transactions list will see it displayed in the same hierarchical mode. Since the view setting is applied at the list level, everyone with access will see the transactions organized and presented consistently. This is why there are no preferences or settings to switch between hierarchical and flat views, unlike the options available for your Chart of Accounts, Customer List, or Vendor List.

Why do 2 out of 5 users see the list differently? I tried resorting and it remains with the Group name on the transaction line as well.

Thank you for chiming back in zjschultz, and sharing that update. The variation in how memorized transactions appear for different users in QuickBooks Desktop is likely caused by the display settings within the Reminder preferences. This setting is user-specific, not company-file-wide, which is why the appearance differs between employees.

 

However, an admin can correct the settings for the affected users by following the steps below:

 

  1. Go to the Edit Menu, select Preferences.
  2. Go to the Reminders and click the My Preferences Tab.
  3. Under the Memorized Transactions Due, you can pick Show Summary or Show List. Please note that Show Summary displays groups and their transactions on separate lines, and Show List shows the group name on the same line as transactions.
  4. Save your changes by clicking OK.
