Merging Inventory Sites

My company had four warehouses (inventory sites) but we've recently had to move out of one, let's call that one Warehouse A. All of the stock that was in WarehouseA has been absorbed by another warehouse (Warehouse B). How can I merge warehouses without manually transferring all 3000 items from Warehouse A to WarehouseB?

Merging Inventory Sites

Hello. 

 

I'm chiming in and help you take care of your times from Warehouse A, then move them to Warehouse B

 

To clarify, I take it that you're trying to directly merge two inventory sites into a single one. If so, QuickBooks doesn't have the option to do this, which works like merging customers or accounts. 

 

You might've come across this, but the only way to "merge" Warehouse A and Warehouse B is to use the Transfer Inventory function. This allows us to move items from one site to another. 

 

To use the function: 

 

  1. Go to the Inventory menu, then select Transfer Inventory
  2. Set the date of when you moved the items to Warehouse B.
  3. Select Warehouse A for the Transfer from the drop-down menu. 
  4. For the To drop-down menu, select Warehouse B.
  5. Click Find & Select Items. 
  6. Check the items from Warehouse A, then click Add Selected Items
  7. Review the items, then once done, check the Prefill Qty To Transfer with Quantity On Hand. This will automatically prefill the QTY TO TRANSFER column with the remaining quantity from Warehouse A. 
  8. Once done, click Save & Close

 

We would have to take note of the items from Warehouse A. I would suggest running the Inventory Stock Status By Site report to determine the items. Go to Reports, hover on Inventory, then select Inventory Stock Status By Site.

 

In the Transfer Inventory screen, we can select and transfer the items in batches if needed. This may help sort out those 3000 items a bit easier for you. 

 

After transferring, we can inactivate Warehouse A from your Inventory Site List: 

 

  1. Go to Inventory, then select Inventory Site List.
  2. Find and select Warehouse A.
  3. Check Site is inactive.
  4. Click OK

Do you also need help adjusting the quantity on hand for your items in the future? We have a guide to help you with the adjustments if an item breaks, or if there's a fewer quantity than what was initially counted: Adjust your inventory quantity or value in QuickBooks Desktop
