Mileage

We have mileage listed as a Product/Service and we charge our customer that expense when we travel for a job and never had a problem.  Today when we enter mileage, for example 204 miles becomes 2:04 and charging by the hour.

Did something change?  I can add mileage in as a delayed charge but that takes extra time.

Let me clarify some questions about how you track your mileage in QuickBooks, Michelle.

When you mentioned entering the mileage wherein 204 miles becomes 2:04 and charging by the hour, did you go through +New, select Expense, and check the billable box to charge the customer? Or did you enter the mileage in QuickBooks Time under the Time Entries tab? This information will help us respond more accurately.

If you were able to successfully enter it previously, let's consider the possibility of this being a temporary browser issue. You might consider clearing your cache and Intuit-specific cookies or using other supported browsers and devices.

Mileage

We enter our mileage in the timesheets right in QB online.  Anything under 100 miles will work.

We don't have the ability to use QB Time to enter mileage.

The Timesheet feature in QuickBooks Online (QBO) is specifically for tracking hours worked. When you entered mileage under 100 miles, QBO interpreted those entries as hours. Now, let's make sure you record your mileage correctly. Here's how you can do it:

 

  1. Navigate to the Expense menu and choose Mileage.
  2. Select the Add Trip green button.

  3. Enter the necessary information.
  4. Once done, click Save.

 

Additionally, please note that the mileage function in QBO is to track trips and vehicle information throughout the year for tax deductions. Since you want to charge your customers for mileage, consider using the billable expense feature available in QBO Plus or Advanced.

 

You'll have to create a dedicated expense account first to track these mileage expenses for reimbursement to your customers. Moreover, I recommend consulting an accountant to ensure proper mileage management.

We have been doing the mileage this way for over 9 years and now we can't.  I don't understand what changed.

 

My expense menu looks nothing like the one you posted,

Since you're seeing a different interface for your expense, I recommend contacting our Live Support team. They can identify the differences in your interface and provide solutions for your mileage tracking, Michelle.

  1. Navigate to the Help menu.
  2. Click the Search option and type "contact support."
  3. Choose the Contact Us tab at the bottom.
  4. Enter the question, keyword, or topic for which you need assistance.
