One user cannot access QuickBooks if another logs in prior

This one is a bit strange. I have two users that access the database via a central server. The first item to know is that user one is always starting in single-user mode even her installation configuration file has a multi-mode set as yes. Now, if user one logs in and switches to multi-mode, the second user cannot access the database. If they both log off, and user 2 logs in. The first user can log in and access the database. They are both using Quickbooks Pro 2015 release R5P.  Another interesting point is that their configuration files are not the same. User one, the empty config items are filled in and this one from user two is not. If I try to update the missing configuration items in user 2's file to match the first, her installation will blank out the entries.

I can help you sort this out, @Keith3568.


One reason why other QuickBooks users unable to access your company file if there’s an issue with the multi-user setup. You’ll want to make sure it’s properly configured, so they’re able to access QuickBooks.


You can review the setup. Then make sure you’ve turned on the folder and windows access permissions to share company files. Here’s how:

 

  1. Right-click the folder that carries the company file.
  2. Go to Properties, then select Security and Edit.
  3. Choose QBDataServiceUserXX and then click Full Control.
  4. Press Allow.
  5. Click Apply, and then press the OK button.


Once done, follow these instructions below:

 

  1. Press Windows + E keys to open File Explorer.
  2. Find and right-click the folder containing your company files.
  3. Move to Properties> Sharing> Shared Add.
  4. Choose the corresponding QBDataServiceUserXX for your version.
  5. The permission level of both users should set in Full Control and Share.
