The QuickBooks Online Desktop app opens a separate window to preview the invoice before printing is part of the software's intended design, Guy. This preview step ensures the document is formatted correctly by the browser before it's sent to a printer or saved as a file.
While you can't bypass the preview completely, you can simplify the saving process to go directly to PDF. The key is using your virtual Adobe PDF printer or your browser's built-in PDF function.
Instead of using an extra step to save, you can set the final print destination as Adobe right away. Here’s how:
- Open the invoice you want to print in QuickBooks Online Desktop.
- Click Print or Preview, then select Preview, then choose Print.
- When the final print dialog box appears, change the Destination or Printer setting from your physical printer to a virtual PDF printer, such as:
- Adobe PDF
- Microsoft Print to PDF
- Save as PDF
- Once you select the PDF printer, click Print or Save.
This action will bypass the physical printing and immediately prompt you to name and save the PDF file to your computer, eliminating the need to save the invoice through Adobe's interface after the fact.
