Project Invoicing w/ Contracts

If I have a customer sign a contract and they owe us money do I put that under their project as an invoice or do I set it up as an open balance for that customer? I want to be able to track things per job even if they have multiple jobs under one customer instead of one open balance? Just want to make sure I’m not doing it wrong

Project Invoicing w/ Contracts

Thanks for being a part of the Community, SShellnutt. Let's track multiple jobs per customer through the Projects feature in QuickBooks Online.

In QuickBooks Online, the Projects feature allows you to track and manage different transactions associated with each job. You can set up multiple projects for a customer with several jobs, making it easier to categorize and organize transactions specific to each individual job.

If your customer's balance isn't associated with any project, then you can simply create an invoice through the +New button on the left navigation panel. On the other hand, create an invoice under a project if the balance is linked to a job for easier classification.

Here's how to create an invoice for a project:

  1. On the left navigation panel, head to Projects.
  2. Locate the project and click on it.
  3. Go to the Add to project dropdown menu.
  4. Select Invoice.
  5. Fill out the form.
  6. Save or send the invoice.

Come back to the Community if you have other concerns about managing jobs and balances, SShellnutt. I'll be around to answer your questions and provide further assistance if needed. Take care!
