QB asks for password for Intuit file transfer when Intuit file transfer was NOT used

This has happened several times to us in the past few weeks.  Clients send us a QB transfer file (.QBX).  When we try to convert it, we get this message:

 

"When this file was sent to the Intuit Accountant's Copy File Transfer server, it was encrypted for security.  Please enter the file transfer password to decrypt the file."

 

But, the clients have not used Intuit's File Transfer server.  They have all sent the file to us using a different service.  We have been able to successfully convert the file by restarting our computer and trying again; for whatever reason, after restarting we can convert the file without being asked for a password.  Today, however, we just got a file from a client and nothing we've tried (restarting, shut down and start, dragging file from our office's server to our computer, trying to open with newer version of QB, downloading the file again) is working.  Is anybody else having this problem?  How can we solve this?

This isn't the kind of experience we want you to have while accessing your client's transferred file, @CindyMTM. That's why I'm here to provide solutions to this issue so you can get back to business in no time. Also, I appreciate you for performing some troubleshooting steps to isolate this matter.

 

You are asked to enter a file transfer password when opening, downloading and converting from ACFT (Accountant's Copy Transfer File). The password is created by the client upon creating an Accountant's Copy. Before we start fixing the issue, please know the following info:

  • There's no password reset tool for the encrypted password on the Accountant's Transfer files.
  • When you're unable to get the password from your client, let them remove the Accountant's Copy Restriction and re-send the Accountant's Copy again.
  • If you received this password prompt from a file that you already converted to an accountant’s working file (.qba), the file is probably damaged.
  • Remove the Accountant’s Copy restriction is IRREVERSIBLE. Make sure you have an agreement with your client and have them back up their company file before doing so.
  • Ensure that your QuickBooks Desktop has the latest release.

 

Let start fixing this issue by removing special characters from the file name and path. Here's how:

  1. Open your windows explorer and browse to the location where the company file is saved.
  2. Check if the file name and file path have any special characters.
  3. Remove the special characters in the folder name and file name as necessary.
  4. Reopen the Accountant's Copy.

I am having the same issue.  At the clients office using QB Desktop Premier 2023 I created an Accountants copy via the save file method to a USB drive. No password was asked for or created in the process.  When I try to convert the transfer file on the USB, I get the message it was sent to the transfer server, encrypted ... and asked for a File Transfer password.   It was never sent to the server so why is this not working?

I've got additional steps you can use to successfully convert the file, @cgreerwc.

 

When downloading from ACFT, you will be prompted to enter a password for file transfer. This is a security measure designed to protect the confidentiality and integrity of the data being transferred. It is a password created by the client upon creating an Accountant's Copy for their accountant.

 

Before proceeding with any troubleshooting steps, I recommend reviewing the important notices that were shared above.

 

After that, follow the solutions outlined by my colleague Rea_M to address the problem. If you already did these steps and are still experiencing the same issue, proceed with this troubleshooting:

 

First, remove the Accountant's Copy Restriction.

 

  1. From the File menu, select Send Company File.
  2. Click Accountant's Copy, then select Client Activities and click Remove Restrictions.
  3. Select Yes, I want to remove the Accountant's Copy restrictions, and OK.

 

Then, re-send the Accountant's Copy using ACFT

 

  1. Go back to the File menu and select Send Company File.
  2. Click Accountant's Copy, then Client Activities.
  3. Select Send to Accountant.

I went back to clients removed the restrictions, ran a rebuild, saved a transfer file to desktop and moved to usb, then moved to my laptop and it opened fine without a password.
