QBO: check stack order not matching new printer, is there a fix?

I took over accounting for a company where the checks had already been ordered. There are a lot of them still, so I want to use them before changing to what I need for my printer.

I am going to try to be as clear as possible in explaining my issue.

The issue is that the check sheets I have are stacked with the smallest check number on top, and the largest check number on the bottom. So top check is 000 and bottom is 100, facing up.

In my printer you place the papers UPSIDE DOWN into the feed slot, and it grabs the top paper but prints on the underside of that sheet.

So in my printer my current stack of checks will start at 100 and work its way down to 0.

I could have sworn I at some point saw a place where you can change the print order in QBO, but I can't find that as an option now.

Does anyone know where I could find this option, or did I imagine it?

I have tried searching QB help pages and found nothing.

This is NOT a matter of the printer reverse printing.

I would really rather not have to manually flip how thousands of checks are stacked.

Thank you.

QBO: check stack order not matching new printer, is there a fix?

I can surely help you with the steps to change the print order of checks in QuickBooks Online, @emmllo.

To resolve the issue, we need to update the print order preferences when you're about to print the checks.

Here's how:

  1. From File, select Printer setup.
  2. In the Form Name ▼ dropdown, choose the transaction type.
  3. Select Options.
  4. Select either Front to back or Back to front in the Page order field
  5. Select OK to save the printer settings.
  6. Select OK to close the Printer setup window.

Important:

  • We can find the Page order preference in the Advanced tab under Options. If you're having trouble locating it, contact your printer's manufacturer for assistance.
  • Some printers print pages in reverse order by default. Check your printer's documentation for instructions on changing the print order.

Please respond to the comment section if you need additional assistance changing the print order of your checks in QBO. I'll keep an eye out for it.

QBO: check stack order not matching new printer, is there a fix?

Thank you for your reply. I'm afraid I am going to need some clarification. Or a lot of clarification, there are several steps here I am afraid I find rather unclear.

What do you mean by "File" and how do I get there on a windows computer?

I have looked all over the QuickBooks Online pages and I cannot find a "File", so I assume it is part of the Printer software? "File" to me normally exists on a computer when you have a program open, so it obviously doesn't in QBO (even if it might in QB Desktop) and my printer software also has no such tab.

I can get to my Printer Printing Preferences just fine but it has no options to "set page order".
I am also not finding it entirely clear what "set page order" means? Am I correct in assuming this means whether my printer pulls from the bottom or the top of the stack of papers? All I get when I google "set page order" is instructions on how to Reverse Printing order, and that is (as mentioned in my original post) not what I need.

As far as I can tell, my Brother printer can not pull from the bottom of the stack, which is why I was hoping there would be a way to tell QBO I wanted to print the checks "backwards" in number.

Thank you.

QBO: check stack order not matching new printer, is there a fix?

I appreciate you clarifying, @emmllo. Let me guide you in changing the check number in QuickBooks Online (QBO) to ensure they print accordingly on your pre-printed checks.

Please know that the steps previously shared by my colleague are only applicable in QuickBooks Desktop (QBDT). Currently, we're unable to set the page order preferences in QBO.

Yes, you're right about the Set Page Order feature in the Printing Preferences. Typically, printers print the first page first down to the last, which can cause the pages to be in reverse order when you pick them up. However, the page order location may vary depending on the printer.

To ensure that the checks print in sequence, you can manually change the check numbers.

Here's how:

  1. Go to Expenses and click Expenses.
  2. In the All transactions dropdown, select Check.
  3. Locate the check and click View/Edit under the Action column.
  4. Modify the Check no. field to match it to the form.
  5. Select Save and Close.

In addition, QBO offers a variety of reports that can help you monitor your business's sales and expenses.

Please know that the Community is open around the clock whenever you have any follow-up concerns about printing checks in QBO. Just mention me in your reply, and I'll sprint back into action. Stay safe, and have a wonderful day ahead!

QBO: check stack order not matching new printer, is there a fix?

Thank you very much for clarifying and explaining that to me.

I do know how to change the check number but was hoping not to have to for every single check!
All the same, I'll figure it out.

Thanks again!

QBO: check stack order not matching new printer, is there a fix?

This solution to change check numbers does not work well when you've printed 100 checks.  How do I change my printer to print checks so that the check numbers are correct?

The trick with this is that each person has to configure their own PRINTER, not the printer settings within Quickbooks.

For an HP printer on Windows, here's how I did it:

1.  Click the Start button.

2.  Settings

3. Printers and Scanners

4.  Click on the printer you use to print checks.

5.  Click on Printing Preferences.

6.  Click on Advanced.

7.  UNCLICK Reverse Page Order.

Hope that helps!
