QBO File/Data Copy/Backup Issue

Hi all:

 

We have an issue with a QuickBooks Online file that could not be copied or backed up.

The file goes back to end of 2015, it has 144k transactions and 296k transaction lines.

The account is Advanced.

 

I first tried exportqbodatatoqbdt to downgrade to Desktop, which is our original ultimate goal.

And I keep getting this error: "Sorry, but something went wrong on ... when you requested that a company file be created for downloading. Please click Start Over to try again."

 

exportmybooks said: "Unfortunately, the conversion did not succeed because the company file data is too large for export out of QuickBooks Online for the chosen start date of 2015-01-01"

 

The QBO Copy feature did not work either.

 

Intuit Data Services said after mentioning the above error:

It is a combination of a) The file being too large and b) Some of the data being stored in the backend tables using an older format.

 

Rewind stopped their QBO Copy feature a while back.

They exported and shared a backup. It comes in JSON files, a file per entry.

As they said, I would then have to use a knowledgeable developer to restore it to another file.

The current issue is that the export is missing most transaction types after trying twice.

 

I made a Skyvia backup of the list data only and restored it into another QBO file.

Some of the products had an error saying: "Required parameter ExpenseAccountRef or IncomeAccountRef is missing in the request". I added those using Spreadsheet Sync.

I was going to use the Skyvia Import Integration to transfer each transaction type at a time, but I lack the required knowledge for it. I do not expect it to run very smoothly anyway.

I have scheduled a demo with them.

 

Exporting and importing using tools like SaasAnt and Transaction Pro is of course last resort.

 

And now I am here seeking some recommendations from the experts in the Community.

As your description of your efforts supports, QuickBooks Online is a steaming pile.

 

Technically weak. Feature weak. Functionally weak. Probably spaghetti code, given the plethora of bugs Intuit introduces with every update.

Consider purchasing a third-party service to migrate the last 2 years of data (1/1/2023 to date) to a new QBO account as a pilot project. Then you will try to convert it to QB Desktop. If all goes well, migrate another year to convert the data again to QB Desktop until the converter refuses to continue. You will create another new QBO account to migrate the remaining data and convert it to QB Desktop. This will definitely take time.

The way QBO works and their backup plan, I'm guessing @4Gal's suggestion is probably the best. 

 

It's why I know people that are leaving QBs/Intuit with their price increase and changes to QBDT.  They've sworn to never go to QBO.  And you're one more example of why they made that decision.

Update:

 

exportmybooks was successful with a 2022 start date!

I haven't converted it to desktop yet, and I will rather assume that this part wouldn't be the issue, than paying the $248 fee now.

 

Another update is that I learned from the client that what they need most importantly for now is a file containing the years 2020-2022.

 

So I kicked in another export starting from 2020 and will see how that goes.

I don't expect it to be ready before next week.

 

Will update you further.

Update:

I have a Desktop file from exportmybooks starting from 2020.

It just needed a few adjustments.

 

Some quotes from exportmybooks support:

"I just spoke to the engineer. We are looking into the issue to see if anything can be done on our side."

"We are running it again on a larger machine so see if that solves the problem."

"We'll keep an eye on it and let you know as soon as find out."

"there was a custom converter created to fix issues during the packaging phase."

I just learned how good and dedicated they are!

 

I am running another export from the beginning of the file and will see how that goes.

 

At the same time, I am also waiting for updates from Data Services and Rewind.

I now have a full export from Rewind Backups.

 

It took us some time to figure out that the ZIP file they shared with all the files didn't extract fully using the Windows 10 ZIP extractor. WinRAR did it.

 

And now that I have a full set of JSON files from Rewind I don't know where to go from here and I would appreciate any advice.

How do I get a bunch of JSON files uploaded to QBO?

 

Do you know anyone having JSON-QBO experience and would be available to be hired for this?

 

In the other hand, exportmybooks is still working on getting me exported data for QBD earlier than 2020.
