QBO invoicing issues

I generate invoices for a law office.   I'm having the following issues:

  • The invoice looks one way when I edit it, it looks completely different when I print it.

For example, I have a heading in the first line of the invoice that states "For Professional Services Rendered".  When I PDF it, that heading shows up at the end.

  • I have costs moved to the end of the invoice in QBO (we group our costs together at the end).  When I PDF the invoice, the costs revert back to date order.

It looks like QBO Is automatically sorting by date when it is printed to PDF.  Any way to stop that?

I want to center the Law Firm's address on the invoice.  I cannot find a template that will do that nor can I edit an existing template.

Any help will be appreciated.

QBO invoicing issues

I would recommend checking your templates, this is usually where it has a section to design where something goes and select what is printed.  You also need to make sure that the template is the one being used on invoice selected.  I would give your template a unique name so easier to check and make it default template.

QBO invoicing issues

Thank you for providing a detailed information about your invoicing issues in QuickBooks Online (QBO), Susan. Let me dive in and address this matter.

In QBO, invoices are automatically sorted based on the service date. This means that even if you manually arrange the items to group your costs at the end, they will revert to being sorted by date when you save or print the invoice as a PDF and please know that there’s no option to prevent this unless you choose not to use the service date.

Regarding centering the Law Firm's address on the invoice, this option isn't supported in the software as it utilizes default templates to ensure a consistent and professional look across all transactions.

I can see how beneficial this feature would be for you and we value your feedback. Thus, I encourage you to share your suggestions with our product team, as they take user input into consideration for future updates.

Here's how:

1. Sign in to your QBO account.
2. Go to the Gear icon at the upper-right hand corner.
3. Select Feedback under Profile.
4. Enter your suggestions then click Next.

Additionally, I recommend exploring the Intuit App Center for supported third-party applications that might enhance your workflow.

Furthermore, I'll leave you with this article that will guide you on receiving invoice payments: Record invoice payments in QuickBooks Online.

If you need assistance with modifying invoices, please let me know. I'm always here to help.
