QBX file converting to a QBW instead of a QBA

I am a Bookkeeper and occasionally, when I receive an Accountant's Copy of a client's QuickBooks (QBX), instead of restoring/converting to a QBA file, it glitches and becomes a QBW file instead. It's happened multiple times and to multiple other people in my office. On the client's QuickBooks, it shows "Accountant's Changes Pending" also. I have never been able to figure out why this happens from time to time. Just wondering if anyone else has ever experienced this or knows why it happens. Usually, if I try to restore/convert the QBX again, it will then work and become a QBA file as intended.

QBX file converting to a QBW instead of a QBA

I can share some information that’ll help convert the accountant’s copy to a working file, @MaceeH.


When converting the file, you’ll want to make sure you’re using your QuickBooks’ Accountant edition. This way you can continue recording transactions without restrictions.


Here how you do it:

 

  1. Go to the File menu, select toggle to another edition (Accountant).
  2. Premier (or Enterprise Solutions) Accountant Edition - Home should be grayed out. If not, select its radio button.
  3. Click Next, then toggle. No worries, you can toggle back to your preferred edition once you’re done.

After these steps, please try to restore/convert the (.QBX) again to a working file (.QBA) so you can start and make changes to their books. Check out our accountant’s copy guide to know more about other workflows.


If the first instruction is already done and the issue remains, we can run the repair tool in QuickBooks Desktop to get this fixed. Let me show you how:

 

  1. First, restart your PC to close other programs that can affect QuickBooks.
  2. Make sure to backup your company file.
  3. Open the Control Panel on your computer.
  4. Go to Programs and Features, Uninstall any unnecessary program.
  5. Now, Select QuickBooks and choose Uninstall/Change.
  6. Click Continue and Next.
  7. Click Repair and wait for it to complete.
  8. Once it's done, select Finish and restart your computer.
