Is there a way to determine what invoices are missing an attachment in quickbooks desktop?

Thanks for reaching out to us, @Rsimm. I can share with you some info about determining what invoices are missing an attachment in QuickBooks Desktop.

 

I've looked through all the options to see if we could generate data to determine the invoices with missing attachments. At this time, the best option we have is to run a report showing all your invoices. Then we need to go through each transaction to see if it has an attachment or not.

 

Let me show you how:

 

  1. Go to the Customers menu.
  2. Choose  Customer Center.
  3. Select the Transactions tab and click Invoices.
  4. Click the Run reports at the bottom part of the window.
  5. Select each transaction to confirm if it has the attachment on it.

Now to verify if that invoice has missing accessories, you can navigate or proceed to the document center to view all the attachments in QuickBooks Desktop.

 

Here's how:

 

  1. Select the Company menu.
  2. Choose Documents.
  3. Click the Doc center tab.

  4. You will see the list of all accessories and from what transaction is it attached to.

Is there anyway to print any report that contains the attachments?  I am with a rural fire department and we must submit a report to our county each year to get funding and must include an accounting with all the bills attached.

Here's how to send a request:

  1. Go to the Help menu.
  2. Select Send Feedback Online, then choose Product Suggestion.
  3. It opens the QuickBooks Feedback window.
  4. Fill in the form, then click Send Feedback.

 

In the meantime, you may consider printing the attachments manually from the Document Center.

  1. Select the Company menu.
  2. Choose Documents.
  3. Click the Doc center tab.
  4. Select one from the list and click View Details.
  5. Click Open Document and print it.

Quickbooks desktop attachments

To allow users to see if there are any attachments attached to the invoices, credit memos, and bills is a very important audit functionality for accounting managers.  To have us click through every single transaction and there are thousand of transactions to figure out if backup documentation is attached or not is just too time consuming.  Please consider to allow this field as selection to our QB reports.  Thank!

We'd love to hear more about this so I recommend sending feedback to our product developers. Once submitted, they will review your suggestions and might add this feature to future updates. Refer to the steps below to proceed:

 

  1. Navigate to the Help tab.
  2. Next, hover over to the Send Feedback Online section and choose Product Suggestion.
  3. Then, fill in the needed details in the Feedback window.
  4. Once finished, select Send Feedback.
