Quickbooks Online Connector for Power BI

Hey there!

I'm using the Quickbooks Online Connector for Power BI and I'm trying to connect to the Profit and Loss report, but I only see the basic tables like Account, Journal Entry, Bill, etc.

Is there a way to pull the Profit and Loss data into Power BI report?

I see that there's API connections to the Profit and Loss Report in the API Developer Docs:

https://developer.intuit.com/app/developer/qbo/docs/api/accounting/all-entities/profitandloss

Otherwise, if I can't get access with the built in connector, does anyone know what basic Quickbooks tables make up the Profit and Loss Report? I'd be more than ok with rebuilding the report if need be.

Thanks everyone!

Hello there, vreiche

When you integrate QuickBooks with Power BI, the integration will lead to the automatic creation of a dataset, report, and dashboard within Power BI.

Thus, yes, there's a way to pull the Profit and Loss data into Power BI report. Once these are created, you will be able to access an option called Visualization in the Power BI dashboard, which allows you to further analyze and present your data. If, for any reason, you do not see this option, I recommend reaching out to Power BI support for assistance and get updated information between QuickBooks and Power BI.

Also, about the basic QuickBooks tables that'll make up the Profit and Loss Report, this isn't an option for now. Still, we have a dedicated forum specifically for addressing API concerns. You can explore our Intuit Developer website to find resources and information about establishing a connection between Power BI and QuickBooks. This can provide you with valuable insights and support for integrating the two platforms effectively.

Visit again if you have any other concerns about QuickBooks integration. I'll be right here to help.

@vreiche

I would prefer to use another BI app to integrate with QBO. Power BI doesn't support QB natively.

Thanks for letting me know. I've created a question in the Developer forum as well.

I'm mainly trying to figure out why I can't see the ProfitandLoss Object when I connect to the Quickbooks Online connector. If I can't use that, I'd like to know what core tables in QBO feed the ProfitandLoss Report.

I have developed my own script that has this feature. It has multiple advantages over the native QBO connector in Power BI
- You can extract data from multiple QBO accounts and combine it together (relevant for owners of multiple businesses and accountants)
- All P&L data is combined in a single table. You can also drill down to transactions that make up value of every account, filter by day and see data on accrual vs cash basis. Same for Balance Sheet, Cash Flow, Account Receivables, Budget, etc.

Here is more info about it: https://vidi-corp.com/how-to-connect-power-bi-to-quickbooks-online-reports/

To connect QuickBooks Online (QBO) with Power BI, you can use the QuickBooks Online Connector for Power BI. Here's how you can set it up:

Open Power BI Desktop: Launch Power BI Desktop on your computer.

Get Data: Click on the "Home" tab in Power BI Desktop and then select "Get Data" from the toolbar.

Select QuickBooks Online Connector: In the "Get Data" window, search for "QuickBooks Online" in the search bar. You should see "QuickBooks Online (Beta)" listed under "Online Services." Select it and click "Connect."

Sign in to QuickBooks Online: You will be prompted to sign in to your QuickBooks Online account. Enter your QuickBooks Online credentials (email and password) and click "Sign in."

Authorize Access: After signing in, you may need to authorize Power BI to access your QuickBooks Online data. Follow the prompts to authorize access.

Select Data: Once connected, you'll be presented with a list of available tables and data objects from your QuickBooks Online account. Select the tables or data you want to import into Power BI, and then click "Load" or "Transform Data" to proceed.

Transform Data (Optional): You can use Power Query Editor to transform and clean up your data before loading it into Power BI. This step allows you to filter, merge, pivot, and perform other data manipulation tasks.

Visualize Data: After loading the data into Power BI, you can start creating visualizations and reports based on your QuickBooks Online data. Use Power BI's drag-and-drop interface to create charts, graphs, tables, and other visualizations. Liteblue

Refresh Data: Power BI allows you to schedule automatic data refreshes to keep your reports up to date. Set up a data refresh schedule to periodically update your QuickBooks Online data in Power BI.

Publish Reports (Optional): Once you've created your reports and dashboards, you can publish them to the Power BI Service (cloud-based platform) to share them with others or access them from anywhere.

That's it! You've successfully connected QuickBooks Online with Power BI using the QuickBooks Online Connector. You can now analyze and visualize your QuickBooks Online data to gain insights into your business performance.

Hi, I have successfully connected to QBO using the Power BI connector. When using Power BI Desktop I can refresh the data from QBO with no problems. However, when I cannot refresh data in my Power BI reports online and receive an error message. It appears this is a common problem - see below. Can you provide any guidance on how to resolve this or if QB is aware of this and working on a solution?

Let me ensure you're routed to the right channel to help resolve errors with your Power BI connector, m_payne.

Since QuickBooks is dependent on the data integrated from Power BI, I recommend reaching out to their online assistance team to help sync and refresh data reports to your account.

Here's how you can reach them:

  1. In your QBO account, select the Apps menu.
  2. Search and choose Power BI in the search field.
  3. In the Contact section, you can utilize the data to get in touch with their support team.

Furthermore, I'll include these references to learn more about managing financial data reports in QuickBooks:

I'll keep track of this thread for any additional queries you may have when managing reports with Power BI. Feel free to leave them below. Stay safe!

Quickbooks Online Connector for Power BI

Is anyone aware if QuickBooks Online Tags are avaialbe in the schema of the Power BI connector?  I have an Essentials version of QBs and it allows me to add Tags and Tag Groups to my Invoices.  However, I have scoured the available tables in Power BI and have been unable to find any reference to the Tags I created.  This is very sad as the primary point of these Tags is to support our business analytics.  There is one report in QBs that allows me to filter on the Tags that have been created (Transaction List by Tag Group) .  Any assistance is greatly appreciated.

Good evening, @gdabate

Thanks for chiming in on this thread.

The best route would be to get in touch with their Customer Support Team to see if this is available with their system.

You can use the steps my colleague provided above to get in contact with them.

If you have any other questions, don't hesitate to ask. Have a great day!

Hi Candice, I appreciate the fast response but perhaps you are not understanding the question.  This is not a Power BI issue but an issue with what data Intuit makes available in your API that you expose to Power BI via the Connector.  Currently, Intuit does not appear to be exposing the data captured in your QBO product regarding Tags.  My question is are there plans to expose the Tag data at some point in the future (i.e., is it in your development pipeline)?  I understand that your Power BI Connector is in Beta and I appreciate any information regarding when the Tag data I hope to have access to becomes available in your Connector API. If there is a better forum to which I should be posting the QBO Connector question, please send me the link and I will do so.  Thank you.

Good luck. As you can see from my very old post, there isn't really any solution to adding or seeing more objects with their built in connector.

If you have the ability and/or option, you'll find more success connecting via their API, it typically has more tables available and could potentially allow you to find the tags. Then from whatever resource you use to connect to API, create a connection that Power BI can ingest, like a database or excel. I currently use a Power Automate flow to pull the information nightly into a file on Sharepoint that I then connect to Power BI.

Hope this helps.

Thank you, vreiche.  I had hoped that because the Connector was designated as "Beta", there was ongoing development work to address bugs and shortcomings as identified in the missing Tag issue.  It appears that this is not the case and I should seek an alternative solution like Power Automate extraction of the data of interest.

I'm trying to pull custom fields that appear on invoices and bills but they do not appear in the qbo connector.  They do appear in CData QB connector though. Any ideas?

There are reasons why a connector's Application Program Interface (API) fails to function correctly with QuickBooks Online (QBO), dblosser.  These issues range from authentication challenges and API version discrepancies to permission restrictions and data synchronization errors. Additionally, changes in API endpoints and incompatibilities in data formats can disrupt the connection.

You mentioned that it functions with a different API, indicating that the Power BI encounters a problem displaying the custom fields you wish to view. I suggest contacting their support, who can provide you with details and solutions about this.

Here's how you can reach them:

  1. Go to Apps.
  2. Search the Power BI in the search bar.
  3. Click the Power BI Connector.

Furthermore, I've included this article that may help you customizing reports: Customize reports using Modern View in QBO.

Reach out if you have any questions about the QBO connector, dblosser. Count on us for assistance.

Thank you but I was referring to the built in QB Online Connector in the Power bi App.

See below.  The tables all populate but the custom fields do not

I value your dedication to managing the QB Online Connector in the Power BI app, @dblosser. Let me provide you an overview on how to resolve this matter.

The QuickBooks integration within the Power BI app is built-in. To address your concern further, I recommend checking the settings in the connector to make sure custom fields are enabled. Alternatively, you could contact Power BI support for detailed assistance on managing custom fields with the QB Online Connector.

I added this article for you to check and serve as guide on how to create and use enhanced custom fields in QuickBooks: Create and edit custom fields.

Should you have additional questions related to the QB Online Connector. Simply Reply in this forum and we will be ready to provide assistance promptly.

QuickBooks Online has a native Power BI connector (still in beta), but it’s limited and doesn’t cover all reports or fields. If you need more flexibility, you can use a no-code tool like Skyvia to sync QBO data to a data warehouse and connect that to Power BI — works well for scheduled and custom reporting.
