Delivery Notes, best way to make and keep with small file size

We run QB pro ver6 in winxp and it fullfill our current needs except the wish to

make and keep Delivery notes. Needed now because shipping and accounting is separated.

Will usin the Estimate template cause less data demand (keep file smaller) the using the Invoice template?

We just need the record to keep track of the delivery is done. Not any relation to item stock or payments.

Delivery Notes, best way to make and keep with small file size

Hello there, Hilmar.

I'm here to ensure you're able to make and keep your delivery notes in QuickBooks Desktop. This way, you can record your delivery and track your customer transactions.

QuickBooks Desktop lets you choose the default template for your delivery notes (packing slip) in the Company Preferences window. This is to select the arrangement of your delivery notes. Here's how:

  1. Go to the Edit menu.
  2. Select Preferences.
  3. Go to the Sales & Customers menu.
  4. Select the Company Preferences tab.
  5. In the Miscellaneous section, choose the template for your invoice packing slip.
  6. Click OK.

I've attached a screenshot below for your visual reference.

Once done, open a transaction (invoice). When you print your invoice, you'll have to select the Packing Slip option to get a copy of the delivery notes. Then, close the Print Packing Slip window so you'll be routed back to the invoice.

To keep a copy of your delivery notes (packing slips), you can attached a soft copy (scan document) of it in your transactions. You can add the documents to anything in QuickBooks that has the paperclip icon.

You can locate your attachments in the Attach folder in the same location as your company file. It's the QuickBooks Doc Center that helps organize and keep your accounts documented. To learn more about it, you can refer to this article: QuickBooks Document Center: FAQs and common issues. It contains  frequently asked questions and recommended troubleshooting steps for common issues related to QuickBooks Document Center.

Furthermore, you can also check out this article about customizing and using templates on your invoices and other sales forms in QuickBooks Desktop: Use and customize form templates.

Please let me know if you have other concerns. I'm just around to help.
