Estimates & Invoices

When I send an estimate or an invoice to my customer, I've always been able to see a list of when they view it online from the estimate or invoice screen.  Lately, I'm not able to see that information and I need to be able to see it to make sure they've received it and looked at it.  Has anyone else noticed that this information is gone, and what do I do to be able to see it again?

Welcome to the Community forum, ComJean. I understand the convenience of tracking sales invoices received and viewed by your customers. I'm here to share detailed information and help provide a resolution to this concern.

 

In QuickBooks Online, recent updates to sales form transactions are largely implemented to most business users like you. The option to view the status at the bottom of an invoice is no longer available. However, you can check its progress from the Invoice Activity section.

 

Also, you may want to verify your account's Online delivery settings to make sure the status shows as Viewed from the invoice section. To do this:

 

  1. Log in to your QuickBooks Online account as admin.
  2. Go to the Gear icon, then Accounts and Settings
  3. Choose the Sales tab then scroll down till you see the Online Delivery section. 
  4. Click on Edit✎.
  5. Make sure the PDF Attached is checked and select Online Invoice under the Additional email options for invoices.
  6. Hit Save and Done.

Once done, the invoice activity status will automatically update and should be visible in your invoice list in the Sales menu. To manually review them, here's how:

 

  1. Go to Sales and select Invoice.
  2. Click on the invoice you want to view, and a panel on the right will appear.

Once your customer view and pay their invoices, track the payments immediately to make sure entries are accurately balanced.
