How to unclose a year

I am helping someone who has serious problems with their QB online books going back several years including many that are still in the transactions that need review so they never got into the reports.  When I tried to correct some things in 2020 I got a pop-up requiring a password because the year is closed.  I tried every password I know of, none worked.  Also there are many changes that need to be made so it will be VERY time consuming to have to enter a password for every entry.  Until about a month ago they had Simple Start, now Essentials.  They did give their tax return preparer their password and I know he made some Journal Entries in some prior years.  Is there a chance they made a password only they have with Simple Start?  Anyone have any idea what I can do?  TYIA.

How to unclose a year

The password for closing the books will remain valid even if they change their subscription, AnnMc. However, a new password may have been created if a completely new account was established when they transitioned to Essentials.

 

Let me provide steps that can help you manage the password so you can enter transactions for 2020.

 

You can change the password in the company settings as long as you're logged in as the primary or company admin. I'd be glad to share the steps with you. Here's how:

 

  1. Go to the Gear icon and click Account and settings.
  2. Proceed to the Advanced tab.
  3. Look for Accounting and click Close the books.
  4. Delete the password in the Password and Confirm Password fields.
  5. Enter a new password and click Save.

 

In addition, you can adjust the Closing date to an earlier period than 2020. This will remove the prompt that would ask you to enter a password each time you enter a transaction.
