Import/Export Chart of Accounts

Trying to export chart of accounts from one company file to another. Online Instructions on website don't work. I am using standalone QuickBooks 2013. I go to File--Utilities--IIF Files, but files are not transferred. What's wrong?

I think because that's describing only 1/2 the process.

Export your Chart of accounts by going to File | Utilities | Export | Lists to IIF files...  Then pick the Chart of Accounts (and any other lists you want to export) and then export them to a file.  Note the location and name of the file.

Then, to import them, in open the company where you want to import them and pick File | Utilities | Import | IIF files... and pick the file you just created to import it.

I appreciate the efforts in trying to export your chart of accounts, @Kalellis44.

Make sure you check the Chart of Accounts tick box and click OK to export your IIF files successfully. See screenshot below:

You should be able to see the "Your data has been exported successfully" prompt once done.

If you already tried this, perform the Verify and Rebuild troubleshooting steps. This helps find possible data issues and fix them:

  1. On the upper right, go to Window then select Close All.
  2. Click  File, then select Utilities.
  3. Choose Verify Data. If you see QuickBooks detected no problems with your data your data is clean, and you don’t need to do anything else.
  4. If it says Your data has lost integrity, data damage was found in the file. Rebuild your data to fix it.

Once everything is all set, you can now import your IIF file

Import/Export Chart of Accounts

@JeraldR  RE: The reason why data like charts of accounts are not transferred in the other company file is that there is no option to export them from QuickBooks. We can only import them.

That's absolutely wrong. Astoundingly wrong.

Import/Export Chart of Accounts

I'm trying to export my COA to excel. Tried all these steps and still get an error saying there are no lists to be found. Verified data and no problems there. Tried vendor list but same "no list found" error. I have a dividing date set. Could this affect my ability to export?!?

Import/Export Chart of Accounts

I appreciate what you've done so far. We can perform some troubleshooting steps to fix the issue with exporting your Chart of Accounts to Excel. I'll get into the details.

Microsoft Excel should be installed on the computer, and if you are using Microsoft Office 365, be sure you are using the version installed on your computer, not the browser version.

Next, ensure your QuickBooks version is up to date and meets the system requirements. Each QuickBooks Desktop version is compatible with particular versions of Microsoft Office. Check the system requirements for your QuickBooks version (202120222023). You can also follow Microsoft's instructions to fix Microsoft Office.

Another solution is to toggle your Windows UAC (User Account Control) settings on and off. This can help reset any obstacles preventing the export feature from functioning correctly.

Here are the steps to follow:

  1. Open the Windows Start menu.
  2. Type User Account Control Settings into the search bar and open the corresponding result.
  3. Move the slider to the Never Notify position.
  4. Click OK to save the changes.
  5. Restart your computer to apply the new settings.

If the problem continues, proceed to Steps 5 and 6, mentioned in this article: Fix export to Excel issues in QuickBooks Desktop.
