Invoice Templates

Each month, I import my invoices from a .csv file.  I then use the batch print to print them.  It has always used the default template I have chosen to print the invoices.  A few months ago, it stopped doing this, using an update "Modern" QB template, which I do NOT want.  It doesn't fit my envelopes, and my default template starts with an 'open balance' (which is what I want).  For it to work, I must go into each individual invoice and view/edit and change the design.  And doing this on hundreds of invoices is very time consuming.  So bottom line.... WHY can I not get it to pull the template its used for years now?!?!?!!? I tried chatting -- the bot is NO help. Thanks in advance for any advice!!

Invoice Templates

Hi there, APSLE. Please know that any inconvenience when tracking your invoices isn't what we want for you. Allow me to provide details about this matter.

I recommend reviewing your Standard template and setting it as the default or customizing it according to your preferences. With the new invoicing version, you can modify and personalize your forms directly on the form itself.

Please note that any customization updates you make on your invoices or estimates will apply to all existing and future invoices. For more detailed information, refer to this article: Customize invoices, estimates, and sales receipts in QuickBooks Online.

You can also create templates for recurring transactions within the program.

Please keep us posted if you have additional questions about the new invoice experience. It's our priority to ensure this gets resolved. Have a good one.

Thank you for your response.

Unfortunately, my template is set to default, and it does not use it if the invoices are imported.  I've never had this issue until there was an QBO update a few months ago.  When invoices are imported, the "Modern" invoice is used, and its not a default - It even has "set as default" next to it.
I've seen others have had this issue also, so I'm wondering if it is something QB needs to look into possibly?

I understand the importance of this option to your business, @APSLE. Let me share some insights about this.

This is due to QuickBooks' recent transition from the old layout to the new one. Thus, when we import invoice designs, QuickBooks automatically uses the new invoice experience. However, if you have the option to switch to the Old Layout experience, we can click that instead.

If you don't have the option, we may have to manually select and edit the imported invoices to modify their designs. Also, I recommend submitting a feedback experience. This way, we can enhance your experience with us.

Here's how:

  1. Go to Settings, then Feedback.
  2. Enter your comments or product suggestions. Then select Next to submit.

Moreover, please visit this article to learn more about how to receive and track customer payments in QuickBooks Online (QBO): Record invoice payments in QuickBooks Online

It can be challenging, APSLE. I appreciate your time and effort in bringing this to us. If you have more inquiries about managing your imported invoices in QBO, don't hesitate to leave a comment. Stay safe!

Thank you! I did leave feedback.  I do not have the "Old layout" option.  And I have been going into each invoice and manually selecting the format we need.  But unfortunately, with the volume of invoice it takes a few hours and in my opinion - a waste of valuable time.  I sure QB changes/fixes this soon!!!!
