Let's go to the User List window to create a user login and set permissions for your warehouse manager so you can limit their access in your QuickBooks Desktop (QBDT) company file.
Setting up users with permissions is recommended when you have multiple users working in the same QuickBooks file. For your warehouse manager, you can set their permission to No Access to any sensitive (for example, accounting, pricing, and payment) information, but provide Selective Access to your inventory activities. To do this, here's how:
- Go to the Company menu.
- Select Set Up Users and Passwords, and then Set Up Users.
- Click the Add User button.
- Provide a name and an optional password for your warehouse manager. Then click Next.
- Select the Selected areas of QuickBooks option in the What do you want this user to have access to? window. Then click Next.
- Make sure to select the No Access option for Sales and Accounts Receivable, Purchases and Accounts Payable, Checking and Credit Cards, Then click Next.
- When you reach the Inventory window, select the Selective Access option and choose the level of access. Then click Next.
- Make sure to select the No Access option for Time Tracking, Payroll and Employees, Sensitive Accounting Activities, Sensitive Financial Reporting. Then click Next.
- Set your preferences in the Changing or Deleting Transactions window. Then click Next.
- Click Finish.
