Recommendation for Warehouse Manager Access (Limited Access)

We want to provide our warehouse manager with access to QB Enterprise but we really want to limit access so that he can only view inventory, change BIN Locations, etc. We want him to let us know if the inventory is off (maybe something was shipped and wasn't invoiced).  We do not want him to have access to pricing, payment information, accounting, or any other sensitive information. If anyone has an idea or solution to this please comment. I'm curious as to how other users go about this and if this is even possible.

Recommendation for Warehouse Manager Access (Limited Access)

Hello there, @GM34.

 

Let's go to the User List window to create a user login and set permissions for your warehouse manager so you can limit their access in your QuickBooks Desktop (QBDT) company file.

 

Setting up users with permissions is recommended when you have multiple users working in the same QuickBooks file. For your warehouse manager, you can set their permission to No Access to any sensitive (for example, accounting, pricing, and payment) information, but provide Selective Access to your inventory activities. To do this, here's how:

 

  1. Go to the Company menu.
  2. Select Set Up Users and Passwords, and then Set Up Users.
  3. Click the Add User button.
  4. Provide a name and an optional password for your warehouse manager. Then click Next80.PNG
  5. Select the Selected areas of QuickBooks option in the What do you want this user to have access to? window. Then click Next81.PNG
  6. Make sure to select the No Access option for Sales and Accounts ReceivablePurchases and Accounts PayableChecking and Credit Cards, Then click Next.
  7. When you reach the Inventory window, select the Selective Access option and choose the level of access. Then click Next.
  8. Make sure to select the No Access option for Time TrackingPayroll and EmployeesSensitive Accounting ActivitiesSensitive Financial Reporting. Then click Next.
  9. Set your preferences in the Changing or Deleting Transactions window. Then click Next.
  10. Click Finish.
