Hi there, Scoobuy,

I can share why a standard user can access everyone's wages and the company info.

A standard user with limited access to customers can view customer registers and reports. See the attached screenshot below for your visual guide.

However, you have the option to set the user not to edit the company info, manage subscriptions, and modify other users. Let me show you how:

  1. Go to Settings, then choose Manager Users.
  2. Find the user, then click Edit under Action.
  3. Choose No to disable the modification option for the user.

I'm also adding the Add, delete, or change user access link if you need to modify a user's access anytime.

I have all the settings for the standard user as you have shown but when i am logged in as the standard user they have full access to the accountants reports, including transaction details.

To confirm the user only has limited access selected for suppliers and customers. and NO to all the other options.

I have the same question and see there has been no satisfactory answer posted.  Were you able to find a solution?

I can share some information about how standard user works in QuickBooks, reporting1.

As mentioned above, the standard user with limited access to vendors and customers can still view some of your accountant reports (including the Transaction List and Transaction Detail report). Please take a look at my screenshot below to know what accountant reports can a standard user view:

I also encourage reading this article to learn more about the different user types and levels of access in QuickBooks Online: User types and user permissions.

If you're using the Advanced version of QuickBooks Online, you can create a custom role for different users. This way, they'll only be able to access specific areas in your company file. I'll show you how:

  1. Click the Gear icon, then select Manage Users.
  2. Go to the Roles tab, then select Add role.
  3. Select All sales transactions & customers from the Sales section.
  4. Select All expense transactions & vendors from the Expenses section.
  5. Enter a role name and description, then select Save.

Once that role has been assigned, the user can only access the sales/expense-related areas, and they're unable to view all your reports.

Additionally, here are some articles that you can read to learn how to manage who can access your books in QuickBooks Online:
